Key Responsibilities

  • Provide executive-level administrative support to senior leadership

  • Manage complex calendars, appointments, and scheduling with strong prioritization

  • Proactively track deadlines, follow-ups, and aging tasks to keep executives on schedule

  • Initiate and receive phone calls in a professional and polished manner

  • Arrange conference calls, virtual meetings, and in-person meetings

  • Monitor, draft, and respond to email correspondence on behalf of executives

  • Prepare daily, weekly, and monthly status reports and summaries

  • Record and track meeting discussions, action items, and next steps

  • Coordinate travel arrangements as needed

  • Assist with occasional personal or ad hoc tasks for executive leadership

  • Provide backup administrative support to other departments when required

  • Maintain confidentiality of sensitive client and firm information

  • Handle special projects independently with minimal supervision

  • Perform additional administrative duties as assigned


Required Skills & Qualifications

  • 3+ years of experience in executive or senior-level administrative support

  • Advanced proficiency in Microsoft Word, Excel, and Outlook

  • Exceptional organizational and time-management skills

  • Demonstrated ability to manage multiple priorities in a high-pressure environment

  • Strong calendar management experience with complex scheduling

  • Excellent written and verbal communication skills

  • Ability to anticipate needs, think ahead, and take initiative without being prompted

  • Comfortable working with executives who have direct or gruff communication styles

  • Professional presence with the ability to set and maintain appropriate boundaries

  • Calm, confident demeanor with strong interpersonal skills

  • Proven ability to work independently with minimal supervision

Preferred (but not required):

  • Experience supporting attorneys, accountants, or senior executives

  • Background in professional services or structured corporate environments

  • Bachelor’s degree in Management, Business, or related field
