Position Overview
Ultimate Staffing Services is actively seeking an Executive Administrative Assistant to join a prestigious institute in Connecticut. This role requires a highly organized and proactive individual to support a range of administrative functions essential to the institute's operations. The Executive Administrative Assistant will have the opportunity to interact with faculty, staff, students, and visitors, ensuring smooth and efficient office activities.
Responsibilities
- Prepare and initiate business transactions including travel arrangements, purchase requisitions, expense reports, and purchase-card expenses.
- Maintain, track, and order supplies and materials, coordinate shared calendars, and interface with vendors.
- Triages inquiries, initiates workflows, enters data, and generates reports in the customer relationship management platform.
- Distribute, manage, intake, and handle data from surveys and forms.
- Collaborate across functions on special projects and perform other related duties as assigned.
- Oversee and coordinate administrative, program, and office activities.
- Serve as the principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities.
- Provide editorial support for journals/publications, proofreading and editing material for grammatical and factual accuracy.
- Determine administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences.
- Allocates funds to the appropriate personnel to purchase important equipment and other items for the office.
- Coordinate travel arrangements, schedule, and coordinate meetings and appointments.
Pay Rate & Hours
$31 per hour, 37.5 hours a week
