Estate Manager and Family Assistant with Meal Prep Support

Location Dorado, PR 00646

Employment Type Part time (20-25 hours per week/ with flexibility to increase during travel)

Proposed Start Date ASAP

Compensation $30–35 per hour, based on experience

Proposed Schedule M-F between hours of 9-7pm

Requirements

  • Valid passport and ability to travel internationally.
  • Valid driver's license and reliable transportation.
  • Ability to travel between Puerto Rico and Kansas City.
  • Approximately one month of international travel (Europe) during summer

About Our Family

We are a close-knit family of four with two young daughters (ages 3 and 5), primarily based in Puerto Rico, with a second home in Kansas City. This is a season we hold with intention, centered around raising our girls with presence, stability, and joy while continuing to build meaningful work and a life we are proud of.

Dad leads and operates his own professional practice, working remotely while managing a dynamic and demanding career. Mom is deeply immersed in the daily rhythm of our daughters' lives, guiding, nurturing, and shaping their early years with care. Key Responsibilities

This role blends estate oversight, home management, culinary preparation, and childcare support across two residences.

Household Management & Organization

  • Maintain organization systems (closets, pantry, toys, storage)
  • Reset and tidy rooms daily; ensure home is prepared for cleaning services
  • Oversee household schedules and calendars
  • Conduct seasonal swaps (clothing, décor, bedding)
  • Prepare for family events and guest stays
  • Coordinate donation drop-offs
  • Support packing and unpacking for travel
  • Supervise and coordinate service providers
  • Maintain indoor and outdoor plants

Inventory Management & Errands

  • Track and restock pantry, fridge, toiletries, and household supplies
  • Maintain and organize running supply lists
  • Coordinate and manage household orders
  • Run errands including grocery shopping, returns, and gift purchases
  • Handle packages, mail, and deliveries

Meal Planning & Preparation

  • Collaborate on food preferences and creative meal ideas
  • Plan and prepare nourishing, delicious meals for the family
  • Batch-cook weekly lunches and prepare fresh dinners
  • Pack school lunches
  • Shop for groceries and meal-related items
  • Maintain kitchen cleanliness post-prep

Laundry & Linen Care

  • Wash, dry, fold, and organize all family laundry
  • Iron or steam clothing as needed
  • Rotate bedding and refresh towels
  • Maintain organized laundry systems

Vehicle Management

  • Schedule and oversee vehicle maintenance
  • Ensure vehicles are fueled, clean, and organized

Vendor & Property Oversight

  • Schedule and supervise service providers
  • Coordinate repairs and maintenance
  • Manage routine upkeep across both homes
  • Oversee outdoor spaces and seasonal needs
  • Serve as primary contact for vendors

Estate-Level Oversight

  • Coordinate communication and scheduling for Kansas City home
  • Ensure both homes are prepared for family arrival
  • Oversee property systems and maintenance
  • Conduct walk-throughs to maintain standards

Family Support & Child Assistance

  • Assist with school/activity pick-ups as needed
  • Provide light supervision or back-up childcare as needed
  • Prep backpacks and snacks/ Support child-related errands
  • Availability for date night/weekend babysitting 

Deep Cleaning & Special Projects

  • Maintain and refresh key zones
  • Declutter and organize seasonal rotations
  • Coordinate with cleaners for deep cleans
  • Identify and address evolving household needs

Administrative & Personal Assistant Support

  • Assist with travel planning and logistics
  • Coordinate appointments and guest preparation
  • Support calendar management as needed
