Overview: University Instructors (UI) seeks a highly analytical Project Manager to oversee the planning, execution, and monitoring of K–12 instructional programs, with a strong emphasis on operational accuracy, compliance, and data integrity. This role partners closely with Program Specialists, recruitment, payroll, and external school district stakeholders to ensure programs are delivered on time, within scope, and in alignment with contractual and regulatory requirements.

The Project Manager will serve as the operational backbone of assigned programs, using advanced Microsoft Excel expertise to manage complex datasets related to staffing, payroll, compliance, performance metrics, and reporting. This role is ideal for a project manager who thrives in structured environments, manages multiple concurrent workstreams, and uses data to proactively identify risks and drive decisions.

Responsibilities

In this role, you will:

· Develop, maintain, and optimize advanced Excel workbooks to track staffing, payroll, attendance, compliance submissions, performance indicators, and contractual metrics.

· Serve as the primary owner of program-level data, ensuring accuracy, consistency, and readiness for audits, client reporting, and internal review.

· Monitor instructor hours, timecard data, and payroll allocations to ensure alignment with state and federal labor laws and UI program guidelines.

· Partner cross-functionally with Program Specialists, recruitment, sourcing, payroll, and compliance teams to resolve issues and mitigate risks before they impact program outcomes.

· Identify trends, discrepancies, and risks through data analysis and communicate findings with clear recommendations to leadership.

· Standardize reporting processes and documentation across programs to improve efficiency, accuracy, and scalability.

· Facilitate internal and external meetings related to project status, risks, and performance metrics.

· Ensure instructors and internal stakeholders meet reporting, documentation, and compliance deadlines.

· Support instructor conversion processes when UI programs conclude, coordinating closely with district partners.

· Document workflows, decisions, and corrective actions to maintain institutional knowledge and process continuity.

· Complete additional duties as assigned to support program operations and organizational priorities.

 

Required Microsoft Excel Expertise

This role requires expert-level proficiency in Microsoft Excel, including:

· Advanced formulas and functions (e.g., nested formulas, LOOKUP/XLOOKUP, INDEX/MATCH, IF logic).

· Pivot tables and pivot charts for large, multi-source datasets.

· Data validation, conditional formatting, and error-proofing techniques.

· Workbook structuring for multi-user environments and version control.

· Creating dashboards and reports used by leadership and external partners.

· Auditing and troubleshooting complex spreadsheets to ensure data accuracy.

 

Qualifications

We are looking for someone who possesses:

· Tremendous attention to detail.

· Drive to collaborate with team members and a high comfort level in communicating with personnel (up, down, across).

· Proficiency using Microsoft Office (especially Excel, Forms, Teams, and Outlook).

· Excellent computer skills, time management, and organizational know-how.

Education and Work Experience

As a successful applicant, you must have a passion for advocating for and helping students succeed. Additionally, you will need to:

· Hold a bachelor’s degree AND

· Commit to working at least 25-35 hours each week AND

· Demonstrate ONE of the following:

o At least 2-3 years of experience in one of the following areas:

§ Administrative support OR

§ Human Resources or related field OR

§ Data entry with a keen eye for detail to ensure accurate and efficient data management OR

§ Special Education OR

§ Any similar combination of education and experience

· Prior supervisory and project management experience is preferred.

· Experience working in the PreK-12 setting is preferred.

· Experience working with individuals who are neurodivergent and/or have special needs is preferred.

Responsibilities:

In this role, you’ll:

  • Manage client and customer relationships; serve as a liaison between the UI team, UI tutors, school-level staff, and district staff.
  • Serve as a subject matter expert for K-12 education policy (at the state and federal level) and best practices in supporting students in Special Education programs.
  • Act as a mentor for UI instructors and program support staff by providing direction, support, and encouragement in all aspects of student services.
  • Monitor all elements of school program implementation, including but not limited to instructor attendance, performance, material distribution, and student achievement through progress monitoring.
  • Lead and facilitate instructor orientation and trainings as needed.
  • Supervise program staff who support your programs.
  • Observe instructors during small group instruction or student supports. Provide instructors with performance coaching to ensure effective classroom management and growth in student achievement.
  • Complete required documentation.
  • Communicate and meet regularly with your supervisor to update them on progress, potential problems, and program concerns.
  • Inform your supervisor about changes at schools in your programs. This might look like implementing feedback based on school administration and staff concerns, instructor performance and attendance, changes to a program’s setup, or effectiveness of the program.
  • Provide instructors with effective solutions to behavioral or educational problems arising during student instruction following UI best practices; ensure program staff you manage are able to effectively provide these solutions.
  • Oversee completion, collection, and distribution of mid-program and end-of-program reports and surveys.
  • Monitor and refine systems to ensure program staff and instructor timecards submissions are completed accurately by the payment deadline.
  • Manage effective collaboration among UI teams (Business Development, Recruiting, Curriculum, Logistics, and Accounting) and clients (district partners and leaders at schools you support).
  • In partnership with clients and their needs, confirm and assign instructors to school locations.
  • Partner with UI Recruiting Specialists to place newly recommended instructors.
  • Maintain open lines of communication with program staff to efficiently move instructors throughout onboarding, orientation, training, and conversion to district employment (when applicable), confirming knowledge transfer of program details.
  • Lead, model, and maintain a positive rapport with school administration and staff.
  • Prepare agendas for, plan, and lead client meetings when appropriate.
  • Complete other duties as assigned.

Compensation:

$35 Houry/ Expected Hours between 30-40 hours a week during the school yaer
