Document Control Specialist II

Objective
To collect, maintain, track, and distribute all documents necessary to ensure that all users have the latest revision of appropriate documentation during all phases of the design, fabrication, and installation process.
Manage the flow of documentation within the organization and oversee document lifecycle from inception to archival.
Develops and maintains a comprehensive filing system and computer database for all documents to be retained in the document control center.
Daily interaction with design team, shop fabrication team, on-site installation team and project management to ensure all document control requirements are met.
Timely distribution of latest revision documentation to all appropriate users to ensure that obsolete documentation is removed from distribution.
Perform administrative duties to generate, organize and file documents and all files as necessary.
Review and update document control workflow standard operating procedures.
Contribute to the development of department policies including documentation, storage, and organization policies.
Ensure proper organization, distribution, and security of paper and electronic documents.
Update progress trackers to reflect latest design and document status.
Managing the lifecycle of submittals and queries from the shop and field are answered by designers.
Proficient AutoCAD skills and interpreting technical drawings.
Qualifications / Experience / Skills and Attributes
Required:
Minimum of High School Diploma/GED with comparable work experience.
Level II: Minimum of 3 years experience.
Proficiency in general computer and documentation processes.
Possessing high attention to detail and being very well organized.
Possessing good written and oral communication skills.
Strong interpersonal and personal skills including an ability to adapt to constant change or sense of urgency and ability to multitask while communicating and prioritizing effectively.
Software:
Proficient in Excel with capabilities of using formulas.
Bluebeam software.
Preferred:
Experience in an engineering, construction, or technical office acting in a Document Control position.
Familiarity with Procore software, AutoCAD, Autodesk docs, Autodesk Navisworks
Ability to understand general design drawings.
Work Schedule / Conditions
The work environment for this position is primarily indoors in an office setting. However, the role occasionally requires work in a shop environment with exposure to moving mechanical parts, loud noise, and airborne particles, and in outdoor field conditions with exposure to various weather elements.
Hours: 8am 5pm (MON-FRI with Saturdays as needed)

Prolonged periods of sitting at a desk and working on a computer.
Regularly sit, stand, or walk short distances for up to the entire duration of a shift/workday.
Frequent walking on uneven surfaces, including ground in varying weather conditions.
Able to wear personal protective equipment (PPE) when working in the shop or field. Including but not limited to steel toe shoes, gloves, safety glasses, hearing protection, hard hat, vest, etc.
