Position Overview

We are seeking a highly organized and detail-oriented Dispatcher to coordinate daily delivery operations and support fleet compliance. This role is responsible for routing, driver communication, safety monitoring, and maintaining accurate fleet and driver records.

Key Responsibilities

Route Planning & Dispatch Operations

  • Plan and assign daily delivery routes
  • Coordinate job site and special delivery requests
  • Optimize routes for efficiency while maintaining safety standards
  • Adjust schedules due to traffic, weather, or operational changes
  • Communicate delivery updates when needed
  • Coordinate with warehouse staff to ensure order readiness

Driver Load & Safety Oversight

  • Ensure drivers verify load accuracy before departure
  • Confirm all materials are properly secured
  • Address and resolve loading discrepancies prior to dispatch
  • Reinforce safety-first practices at all times

Fleet Safety Monitoring

  • Monitor telematics systems for driver behavior and safety alerts
  • Review incidents such as speeding, harsh braking, or unsafe driving
  • Document and escalate major safety violations
  • Support corrective actions and safety training initiatives

Incident Reporting & Documentation

  • Ensure completion of incident reports before end of shift
  • Collect and maintain required documentation and photos
  • Report accidents, injuries, or major incidents immediately
  • Maintain organized incident records

Fleet & Driver Compliance

  • Maintain accurate vehicle records (registration, insurance, maintenance, etc.)
  • Track preventative maintenance schedules
  • Maintain driver files (licenses, certifications, safety documentation)
  • Ensure all documentation is current and compliant
  • Prevent operation of vehicles or drivers with expired credentials

Compliance Audits

  • Conduct quarterly audits of fleet and driver records
  • Ensure all documentation is up to date and audit-ready
  • Report findings to leadership

Driver Communication & Support

  • Act as the main point of contact for drivers during shifts
  • Provide route guidance and job site support
  • Communicate schedule updates and changes
  • Assist drivers during emergencies or unexpected situations

Qualifications

  • Previous dispatch, logistics, or transportation experience preferred
  • Strong organizational and multitasking skills
  • Excellent communication and problem-solving abilities
  • Experience with telematics or fleet tracking systems is a plus
  • Proficient in Microsoft Office and record-keeping systems
  • Ability to work in a fast-paced environment and handle pressure

Performance Expectations

  • Maintain accurate and up-to-date fleet and driver records
  • Respond promptly to safety alerts and operational issues
  • Ensure all incident reports are completed the same day
  • Keep files organized and audit-ready
  • Prioritize safety over speed and efficiency
