Summary
Provides strategic leadership and operational oversight for the School’s facilities and operations in alignment with the School’s mission and Strategic Plan. Partners closely with senior leadership to ensure that campus systems, services, and resources effectively support teaching, learning, and community life.
Leads, supervises, recruits, and supports facilities and operations staff and services, including campus planning, facilities and maintenance management, transportation, campus security, risk management, and overall site leadership. Promotes a culture of professionalism, accountability, and continuous improvement through training, goal setting, performance evaluation, and staff development; assesses staffing needs and hires temporary personnel as needed.
Oversees all aspects of facilities and operations, bringing technical expertise and sound judgment in building and grounds management, maintenance, energy efficiency, sustainability, and the effective use of campus facilities and services.
Manages permitting and regulatory processes and oversees daily operational needs related to site, facilities, transportation, and construction activities, including capital projects and ongoing campus improvements, ensuring compliance with applicable regulations and best practices.
Facilities and Operations
Creates, oversees, and manages all aspects of the School’s equipment replacement and building maintenance program, funded through the facilities operating budget and PPRSM reserve. Develops and implements short- and long-term maintenance plans that support campus sustainability, programmatic growth, and strategic priorities.
Partners closely with the Head of School, CFO, and other administrators to understand and respond to evolving facilities needs related to staffing changes, program development, and curriculum growth.
Investigates, tracks, and resolves building maintenance issues, concerns, and trends, and formulates long-range maintenance goals and capital improvement projects.
Protects, maintains, and enhances the School’s physical plant and related assets in a safe, efficient, and mission-aligned manner, including buildings, grounds, furniture, fixtures, fire safety and security systems, maintenance equipment, and supplies. Maintains and safeguards all related plans, records, documents, and files.
Monitors campus needs proactively and responds in a timely manner to facilities and operational service requirements.
Solicits bids/quotes for, evaluates, and recommends external contractors and vendors as needed for facilities and maintenance work; oversees and manages contractor performance to ensure quality, safety, and cost effectiveness.
Oversees purchasing, inventory, and lifecycle planning for equipment and supplies supporting maintenance, grounds, custodial, and security operations, ensuring adequate stock of critical supplies and parts.
Leads energy management initiatives and environmental sustainability efforts, identifying and implementing strategies that improve efficiency and reduce long-term operating costs.
Provides oversight and management of the School’s student transportation program, with an emphasis on safety, service quality, efficient routing, scheduling, and overall program effectiveness.
Safety and Security
Evaluates the School’s safety and security program on an ongoing basis, recommending and leading improvements as needed.
Collaborates with administrators, faculty, and staff to coordinate security support for school events and special activities.
Leads emergency preparedness planning, including safety protocols, drills, and response procedures.
Directs and manages safety and security processes, training, equipment, and best practices, in partnership with the Head of School, CFO, School Nurse, and other administrators as appropriate.
In conjunction with Head of School and CFO, works to ensure compliance with all applicable federal, state, and local environmental, health, and safety regulations, including OSHA and EPA requirements.
In conjunction with Head of School, CFO, and Board/Site Committee; designs and implements campus safety programs and facility improvements that enhance student and staff wellbeing.
Develops and implements strategies to minimize property loss and manages the distribution and control of campus access devices.
Oversees campus risk management efforts to protect students, staff, and visitors; safeguard school assets; and mitigate operational and financial risk.
Additional responsibilities
Serves on the Board’s Site Committee and other committees as appropriate.
Develops project scopes, specifications, and timelines for campus initiatives; solicits bids; and consults with vendors, trades, and contractors to support successful project delivery.
Provides continuous oversight of transportation, maintenance, facilities, and identifies opportunities for operational improvement and long-term efficiency.
Collaborates with technology staff to plan, adopt, and support hardware, software, and training initiatives that enhance facilities, operations, safety, and security systems.
Partners with the CFO to develop and manage annual operating and capital budgets for facilities, including long-term project planning.
Exercises responsibility for cost control, budget monitoring, and financial stewardship, including review of purchase orders, vendor selection, approvals, and bid compliance.
Performs additional duties and special projects as assigned to support the needs of the School.
