A growing construction company is Baltimore, MD seeks a qualified Construction Billing Specialist
Key Responsibilities
Billing & Invoicing
- Prepare and submit progress billings, AIA (G702/G703) applications, time-and-material invoices, and final invoices.
- Review project contracts to ensure billing aligns with terms, including retainage, schedule of values, and approved change orders.
- Maintain and update the schedule of values (SOV) based on project progress.
Financial Tracking & Documentation
- Track accounts receivable and follow up on outstanding payments.
- Reconcile billing discrepancies and resolve issues with project teams or clients.
- Verify subcontractor billing and supporting documentation before approval.
Project Coordination
- Work closely with project managers, estimators, and accounting teams to confirm project percentages, cost codes, and change order amounts.
- Collect and organize lien waivers, insurance certificates, and compliance documents as required per contract.
- Support month-end closing processes and project financial reporting.
Compliance & Recordkeeping
- Ensure invoices follow contractual, regulatory, and company standards.
- Maintain accurate and organized billing records, logs, and audit trails.
- Assist with job cost reporting and monitor budget-to-actual performance when needed.
Qualifications
- Proven experience in construction billing, accounting, or project administration.
- Strong understanding of AIA billing, retainage, change orders, and construction contract terms.
- Proficiency with construction accounting software (e.g., Procore, Sage 300/Intacct, Viewpoint, QuickBooks Contractor Edition).
- Strong attention to detail, accuracy, and time management.
- Excellent communication and customer service skills.
- Ability to read and interpret construction contracts, schedules, and cost codes.
Preferred Skills
- Knowledge of lien law requirements (state-dependent).
- Familiarity with certified payroll or prevailing wage documentation (as applicable).
- Ability to manage billing for multiple concurrent projects.
