Executive Assistant to the CEO (San Francisco, CA)
About the Role
We're seeking a highly capable Executive Assistant to the CEO to serve as a trusted partner and owner of executive operations. This role goes well beyond calendar management—it is about enabling the CEO to operate at maximum effectiveness by anticipating needs, managing priorities, and ensuring both business and administrative operations run seamlessly.
This is a high-trust, predominantly in-office role based in San Francisco. The ideal candidate is proactive, discreet, detail-oriented, and comfortable operating with significant autonomy in a fast-paced environment.
What You'll Do
- Own executive operations for the CEO, ensuring priorities, workflows, and logistics run smoothly day to day
- Manage complex calendaring across internal and external stakeholders, anticipating conflicts and optimizing time
- Oversee inbox and communications, including triage, drafting responses, and managing follow-ups
- Coordinate business and occasional personal travel, including itineraries and real-time changes
- Prepare for meetings with agendas, briefing materials, notes, and action-item tracking
- Support board, investor, and leadership meetings, including preparation and logistics
- Act as a trusted liaison between the CEO and internal teams, external partners, and advisors
- Handle highly sensitive information with discretion, professionalism, and sound judgment
- Provide occasional personal administrative support, such as family travel coordination, tax-related document organization, and other personal logistics; this may include limited access to personal financial information and occasional visits to the CEO's home
- Support special projects and continuously improve systems and processes to increase executive efficiency
What We're Looking For
- 8+ years of experience supporting senior executives; CEO or Founder-level support strongly preferred
- Proven strength in executive operations within fast-paced, high-accountability environments
- Exceptional organizational, prioritization, and time-management skills
- Strong written and verbal communication abilities
- Meticulous attention to detail with the ability to manage competing priorities
- Proactive, anticipatory mindset with strong problem-solving instincts
- Absolute discretion, sound judgment, and comfort operating in a high-trust role
- Strong technical fluency, including Google Workspace, Microsoft Office (Outlook, Excel, PowerPoint), Slack, and Zoom
- Willingness to work predominantly in-office in San Francisco, with flexibility as needed to support the CEO's schedule
Nice to Have
- Experience in high-growth startups or founder-led organizations
- Exposure to board and investor relations
- Event planning or office operations experience
- Light project management experience
Compensation
- Base salary range: $150,000 – $200,000 (San Francisco market)
- Bonus and benefits may apply depending on experience and overall package
