KEY RESPONSIBILITIES
Client Onboarding & Account Processing
- Prepare and process new account paperwork with custodians - Complete client service agreements, disclosures, and forms with accuracy - Manage DocuSign workflows and documentation tracking - Follow up on outstanding items and ensure timely completion
Client Service Operations
- Support accou t maintenance and service requests - Coordinate receipt and delivery of client documents - Maintain accurate, organized, and compliant records - Ensure precision with numbers, dates, and account details
CRM & Internal Support
- Work daily in a CRM system to document notes, tasks, and workflows - Translate advisor notes into clear action items and follow-ups - Schedule meetings and manage calendars using Outlook or similar tools - Close the loop on tasks so nothing falls through the cracks
Operational Excellence
- Reduce administrative burden for advisors and IRA staff - Identify errors, inefficiencies, or process gaps - Adapt to changing priorities and client needs - Accept feedback and implement improvements quickly
SKILLS & TRAITS FOR SUCCESS
- Experience with high-accuracy paperwork in regulated environments - Strong attention to detail and follow-through - Comfort managing multiple workflows - Ownership mindset and initiative - Adaptability in a lean, non-corporate environment
PREFERRED EXPERIENCE & SKILLS
- Experience in - Wealth management or RIA client service - Banking, trust administration, or financial operations - Legal assistant or administrative roles - Proficiency with office and productivity tools, including: - Microsoft Office (Word, Excel, Outlook, PowerPoint) - PDF and document management tools - Electronic signature platforms such as DocuSign - Experience working in CRM systems (e.g., Salesforce, Redtail, Wealthbox, or similar) - Strong attention to detail and ability to self-review work for accuracy - Bachelor's degree or equivalent experience preferred (not required)
COMPENSATION
Base salary range of $35,000 - $52,000, depending on experience, plus performance-based incentives
We are open to candidates with varying levels of experience and will calibrate compensation accordingly.
