Responsibilities:
As a Permanent Billing Coordinator, you will be responsible for:
1. Coordinating the entire billing process, ensuring all invoices are accurate, timely, and compliant with client and firm guidelines.
2. Utilizing various billing software, such as 3E, eBilling, Intapp, Entile Enterprise, and BillBlast, to manage and streamline billing operations.
3. Reviewing and editing pre-bills in response to attorney and secretary requests.
4. Working closely with attorneys, legal secretaries, and clients to resolve any billing discrepancies or issues.
5. Assisting in the preparation and processing of electronic bills in a variety of formats, depending on client specifications.
6. Providing proforma invoice drafts for attorneys, making necessary adjustments as directed.
7. Monitoring the status of unbilled fee and cost entries, following up with appropriate parties to ensure timely billing.
8. Collaborating with the accounting team to maintain accurate and up-to-date client accounts and billing records.
9. Participating in the month-end closing activities and generating relevant reports for management review.
Qualifications:
The ideal candidate for the Permanent Billing Coordinator position must have:
1. A minimum of 3 years of experience in legal billing or a similar role within the legal industry.
2. Proven experience with billing software such as 3E, eBilling, Intapp, Entile Enterprise, and BillBlast.
3. Strong understanding of the billing process and legal terminology.
4. Excellent attention to detail and a high degree of accuracy.
5. Strong organizational skills and the ability to manage multiple tasks simultaneously.
6. Exceptional communication skills, both written and verbal.
7. Ability to work effectively under pressure and meet tight deadlines.
8. Proficiency in Microsoft Office Suite, particularly Excel.
9. A proactive approach to problem-solving and the ability to work independently as well as part of a team.
10. A Bachelor's degree in Accounting, Finance, or a related field is preferred.
