Position Overview:
We are seeking a highly organized and detail-oriented Bilingual Office Assistant (English/Spanish) to support daily administrative and accounting operations in our growing construction company. The ideal candidate is fully fluent (native-level) in both English and Spanish, experienced in QuickBooks, and comfortable working in a fast-paced construction environment.
This role requires strong communication skills, accuracy with financial data, and the ability to coordinate between office staff, field crews, vendors, and clients.
Key Responsibilities:
- Provide administrative support to management and project teams
- Manage phone calls, emails, and correspondence in English and Spanish
- Process invoices, accounts payable/receivable, and payroll support using QuickBooks
- Maintain accurate financial records and assist with bookkeeping tasks
- Prepare estimates, contracts, and project documentation
- Coordinate permits, inspections, and subcontractor paperwork
- Maintain organized digital and physical filing systems
- Order supplies
Required Qualifications:
- Native or near-native fluency in both English and Spanish (written and verbal)
- Proficiency in QuickBooks (Desktop and/or Online)
- Previous experience in bookkeeping or accounting support
- Strong Microsoft Office skills (Excel, Word, Outlook)
- Excellent organizational and time-management skills
- Close attention to detail and accuracy
- Ability to multitask and prioritize in a deadline-driven environment
- Professional communication skills
