On-Site Office Administrator (Bilingual Mandarin)

Cooperative Residential Building – Flushing, Queens, NY

Full-Time | Monday–Friday | 9:00 AM–5:00 PM


A well-established cooperative residential building in Flushing, Queens, is seeking a customer service–focused, bilingual (Mandarin/English) Office Administrator with direct experience in co-op and condominium property management.


This is an on-site, resident-facing position. We are looking for a professional, organized, and approachable team member who understands NYC co-op operations and thrives in a customer-service environment.

Compensation:

$18 - $20 hourly

Responsibilities:
  • Grow in the position through continued learning and revitalization of skillsets in related duties
  • Manage all paperwork in the office and create a process for team members to follow to ensure efficiency
  • Purchase office equipment when appropriate
  • Inform team members regularly about the status of projects and any setbacks or achievements
  • Plan office events and schedule arrangements for travel if necessary
  • Act as a point of contact for complaints or questions from customers and respond in a timely manner
  • Serve as primary contact for residents and board members
  • Respond to maintenance, billing, and policy inquiries
  • Track and follow up on work orders
  • Coordinate move-ins/move-outs
  • Maintain shareholder and unit records
  • Draft building notices and communications
  • Support board meeting preparation
  • Coordinate vendor access and insurance documentation
Qualifications:
  • High school diploma or GED required
  • Shows great interpersonal skills and excellent written communication
  • Proven track record of completing projects on time in an orderly manner
  • Prior experience in office management or our industry is a plus
  • Proficient in basic computer software and can quickly learn to use new programs
  • Minimum 3 years of administrative experience in co-op or condominium property management
  • Fluency in Mandarin and English (spoken and written)
  • Strong customer service and communication skills
  • Experience handling resident inquiries and service requests
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with property management software (AppFolio preferred)
  • Highly organized with strong attention to detail
