About Us
We are a solutions-driven property management company, managing a portfolio of commercial real estate properties (office). We are seeking an Assistant Property Manager for the IDS Center who is proactive, detail‑oriented, and committed to exceptional tenant service.
Responsibilities
• Assist Property Manager with the preparation and dissemination of monthly client and building reporting.
• Assist with preparation of annual operating budgets and reports for the facility.
• Assist with preparation of monthly financial reports.
• Assist with day-to-day tenant calls.
• Coordinate Fire/Life Safety Procedures training for tenants.
• Relay complaints, problems, special cleaning projects, etc. to custodial lead.
• May oversee security staff through review of Incident Reports, communication with Site Supervisor and Account Manager.
• Assist Construction Manager with tenant improvement work and alterations to building tenant spaces.
• Coordinate access to building for contractors.
• General administrative duties
• Generate work orders
• Review abstracts for lease documents
• Interface with contractors
• Processing AR/AP
• Coordinate access between building personnel and tenants
• Monitor tenant collections
• Prepare memos and notices to keep tenants aware of building service interruptions
• Monthly building inspections
• Assist Property Manager with miscellaneous projects
• Perform general secretarial duties as necessary for incoming calls and office visitors.
• Coding and follow-up of all invoices for accounts payable.
• Maintain certificates of insurance for vendors and tenants.
Education
• Associate’s degree, B.A. Degree preferred; CPM and/or RPA candidate preferred.
Qualifications
• 2+ Years Real Estate & Commercial Property Management experience.
Skills
• Strong literacy in MS Word and Excel.
• Proficiency with Yardi Systems.
• Highly organized and skilled with time management.
• Excellent written and oral communication skills.
• Strong customer service/tenant relation skill required.
• Detail-oriented with strong follow-through and problem-solving abilities.
• Strong interpersonal skills with the ability to work collaboratively across teams.
