The Assistant Expeditor provides administrative and coordination support to the procurement and expediting team. This role plays a critical part in maintaining communication flow between suppliers and internal project teams by managing high-volume correspondence, tracking material statuses, organizing documentation, and supporting the Piping Expeditor.
This is a fast-paced, detail-driven role ideal for someone who thrives in a structured environment and enjoys organization, follow-up, and process support.

Position Summary
The Assistant Expeditor provides administrative and coordination support to the procurement and expediting team. This role plays a critical part in maintaining communication flow between suppliers and internal project teams by managing high-volume correspondence, tracking material statuses, organizing documentation, and supporting the Piping Expeditor.
This is a fast-paced, detail-driven role ideal for someone who thrives in a structured environment and enjoys organization, follow-up, and process support.
Key Responsibilities
- Manage a shared procurement/expediting email inbox (100+ emails daily)
- Review, categorize, and prioritize supplier and internal communications
- Track purchase orders and update material status in spreadsheets or internal systems
- Follow up with suppliers to confirm order acknowledgments, production status, and delivery timelines
- Maintain and organize digital documentation within shared drives and company systems
- Ensure all vendor correspondence and shipping documents are properly filed and accessible
- Assist the Piping Expeditor with reporting, data entry, and project updates
- Support procurement and project teams with administrative tasks as needed
- Help identify and escalate potential delivery delays or documentation gaps
- 2+ years of administrative, procurement, supply chain, or project coordination experience preferred
- Experience working in construction, EPC, oil & gas, or industrial environments is a plus
- Strong ability to manage high email volume and prioritize tasks effectively
- Excellent organizational skills and attention to detail
- Professional written and verbal communication skills
- Proficiency in Microsoft Outlook, Excel, and shared document management systems
- Ability to work in a fast-paced, deadline-driven environment
- Highly organized and process-oriented
- Strong follow-up and time management skills
- Detail-focused with strong documentation accuracy
- Ability to multitask without losing accuracy
- Team-oriented with a proactive mindset
- $20–26/hour depending on experience
