Position Summary

The Assistant Director supports the overall leadership, daily operations, and quality of services in a day program serving adults with intellectual and developmental disabilities (IDD). This role ensures that programming is person-centered, compliant with all regulatory standards, and promotes independence, community engagement, and meaningful skill-building. The Assistant Director acts as a leader, coach, and problem‑solver for staff and participants and serves as the acting Director when needed.



Key Responsibilities

Program Operations & Oversight
  • Assist in planning, implementing, and evaluating daily program activities.
  • Ensure all services follow agency policies, state regulations (e.g., HCBS settings rule), and licensing requirements.
  • Oversee participant schedules, community outings, transportation needs, and activity plans.
  • Monitor program environments for safety, accessibility, and quality.

Staff Leadership & Supervision
  • Provide direct supervision, coaching, and support to DSPs and program staff.
  • Assist with staff hiring, onboarding, training, and performance evaluations.
  • Lead team meetings, promote professional development, and foster a positive, inclusive workplace culture.
  • Ensure appropriate staff-to-participant ratios at all times.

Participant Support & Case Management
  • Ensure person‑centered plans (PCPs) and goals are implemented effectively.
  • Support participants in achieving independence, communication, social, vocational, and daily living goals.
  • Maintain strong relationships with families, guardians, and support coordinators.
  • Participate in service planning meetings and progress reviews.

Compliance, Documentation & Reporting
  • Ensure accurate and timely documentation, including attendance, progress notes, incident reports, and billing.
  • Support quality assurance activities, audits, and state licensing reviews.
  • Maintain confidential records in accordance with HIPAA and agency policy.

Health & Safety
  • Monitor participant health needs and collaborate with nurses or healthcare providers when appropriate.
  • Promote positive behavioral supports and assist in crisis intervention when needed.
  • Maintain emergency preparedness procedures and compliance with safety standards.

Administrative Support
  • Assist the Director with budgeting, purchasing, and resource allocation.
  • Support development and implementation of new program initiatives.
  • Serve as acting Director in their absence.


Qualifications

Required
  • Associate’s or Bachelor’s degree in Human Services, Psychology, Social Work, Education, or related field (requirements vary by state/agency).
  • 2–4 years’ experience working with adults with IDD or in a human services setting.
  • Supervisory or leadership experience.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to handle emergencies calmly and effectively.
  • Valid driver’s license; ability to pass background checks and required trainings.

Preferred
  • Experience in day habilitation, vocational programming, or community-based services.
  • Familiarity with Medicaid waiver requirements, HCBS compliance, and agency accreditation standards (e.g., CARF, CQL).
  • CPR/First Aid, MAP/MAT, or CPI/PMT certification (or willingness to obtain).
