Position Overview
Join us in the summer of 2026 and help us continue the legacy of fostering creativity, nurturing talent, and celebrating the individual artistic journey at Interlochen. We are seeking an organized and team-oriented Arts Administrative Assistant - Rental Logistics dedicated to fostering young artists' growth.In this role, you will assist in the planning, coordination, and logistics of large-scale events for visiting high school ensembles that utilize Interlochen facilities during the month of August. This is a hands-on opportunity to gain experience in event planning and arts administration while working in a vibrant and dynamic summer camp environment.
What You Get To Do:
- Communication & Coordination:
- Serve as the primary liaison for post-camp high school ensembles, addressing ensemble and site logistic needs for their visits.
- Collaborate with Interlochen staff across various departments, including safety, health services, transportation, lodging, dining, maintenance, and stage services, to ensure seamless operations for visiting ensembles.
- Administrative Support:
- Develop and maintain content management tools (e.g., forms, spreadsheets, timelines) to efficiently track administrative needs.
- Provide general office support, including answering phones, filing, creating and updating program materials, data entry, and document preparation.
- Onsite Management:
- Act as the primary point of contact during high school ensemble visits, managing logistics and troubleshooting issues in real-time with Interlochen staff.
- Material Development:
- Create and update communication materials for visiting high school ensembles and Interlochen staff.

- Prepared to live in a residence hall with a roommate. While we offer accessible housing accommodations, please note that due to the rustic nature of our camp, these options are limited.
- Training or experience in event planning or arts administration is essential.
- A background in the arts, particularly ensemble management or high school band, choir, or orchestra programs, is highly desirable.
- Proven ability to work under pressure, manage multiple priorities, and solve problems efficiently.
- Exceptional organizational skills with the ability to handle multiple tasks simultaneously.
- Strong written and verbal communication skills to interact effectively with diverse groups.
- Comfortable working in a dynamic, fast-paced, and evolving environment.
- Light to moderate physical activity, including walking long distances and lifting heavy items such as boxes, tables, and chairs, is required.
