Our Home and Community-Based Services program provides the necessary support for individuals to remain in their own homes and actively participate in work and community activities.
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team.
Position Summary
The Administrative Assistant plays a vital role in supporting daily operations, ensuring compliance, maintaining documentation, and assisting leadership within our Home and Community-Based Services program. This position requires strong organizational skills, professionalism, and the ability to work in a fast-paced, service-driven environment.
Key Responsibilities
The Administrative Assistant will be responsible for, but not limited to:
Managing and maintaining data in spreadsheets, reports, and internal systems
Keeping organizational records and reports accurate and up to date
Assisting with budget tracking and maintaining the budget plan
Organizing and scheduling meetings, appointments, and events
Supporting staff coordination and delegating tasks as directed by leadership
Addressing and resolving administrative or operational issues within scope of responsibility
Performing general clerical duties, including answering phones, calling clients, and preparing documents
Supporting the submission of documentation to DDD (assembling, sending, and tracking required materials)
Ensuring accurate and timely submission of compliance-related documents
Upholding and promoting the vision and functional objectives of Source of Hope
Performing other duties as assigned
Required Knowledge & Skills
Administrative & Office Management
Strong organizational skills with the ability to manage multiple tasks and competing priorities
Proficiency in scheduling, calendar management, and coordinating meetings and appointments
Accurate data entry and record-keeping abilities
Ability to maintain organized physical and digital filing systems
Communication & Interpersonal Skills
Excellent verbal and written communication skills
Ability to interact professionally with clients, families, staff, and community partners
Strong customer-service and conflict-resolution skills
Professional phone and email etiquette
Office Technology Proficiency
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace
Comfortable using organizational systems such as CRM platforms, EHR systems, scheduling tools, or case-management software
Ability to quickly learn and adapt to new software and technology
Compliance & Documentation
Understanding of HIPAA regulations and confidentiality requirements
Familiarity with compliance documentation, incident reporting, and required client paperwork
Ability to ensure accurate and timely submission of forms, reports, and audits
Organizational & Problem-Solving Abilities
Strong attention to detail and accuracy
Ability to analyze information, identify issues, and propose effective solutions
Capable of working independently with minimal supervision
Excellent time-management and multitasking skills
Client Service Orientation
Ability to provide respectful and supportive service to clients and families
Experience supporting vulnerable populations is a plus
Cultural sensitivity and ability to work with diverse communities
Teamwork & Professional Conduct
Ability to effectively support management, case managers, caregivers, and administrative staff
Willingness to assist with additional responsibilities as needed
Reliable, punctual, and trustworthy
Maintains integrity when handling sensitive information
Demonstrates professionalism in all interactions
Preferred (Not Required) Qualifications
Experience in healthcare, behavioral health, social services, or home-care settings
Knowledge of Medicaid, insurance billing, or authorization processes
Bilingual abilities (depending on the population served)
