Administrative Coordinator

Responsibilities:

  • Assist in the preparation of materials necessary for acquisition, financing and sale of
  • Prepare Excel
  • Develop proficiency with Argus for financial
  • Develop proficiency with Costar for market
  • Review and assist with AppFolio property management software interaction with Apartments.com and Zillow.
  • Oversee com management of Facebook and Instagram content to ensure timely and accurate postings.
  • Maintain organized unit and property photo libraries on the T-drive; upload photos to AppFolio of vacant apartments and notify property managers when pictures are ready for editing and posting.
  • Oversee Property Shield platform to identify and remove fraudulent property
  • Produce weekly TikTok video content for each managed Preferred but not required.
  • Prepare and distribute weekly operational reports, including leads report, prospect tracking report, vacancy report, and arrears report.
  • Compile and distribute monthly analytical reports, including CoStar market comps report, EV charger usage report, and rental rates report.
  • Attend weekly telephone conference calls and produce accurate, organized meeting notes for distribution.
  • Manage annual tax document collection for the broker and upload completed documents to his accounting portal in a timely manner.
  • Provide shared coverage of the front reception desk during the receptionist’s lunch break every other day and as otherwise needed.
  • Assist with mail coverage as needed to ensure uninterrupted daily
  • Perform scanning, copying, and printing of documents as
  • Manage outgoing FedEx shipments and coordinate

Desired Qualifications:

  • 2+ years of administrative experience.
  • Experience in property management is preferred.
  • Experience managing social media platforms is a plus.
  • Strong MS office experience.
