Job Description:
Our client is seeking a polished and highly organized Administrative Coordinator to support a dynamic internal team. This individual will serve as a key point of coordination for scheduling, communication, and administrative execution across projects. The ideal candidate is proactive, detail-oriented, and comfortable managing competing priorities while maintaining professionalism in client-facing interactions.
Key Responsibilities:
- Coordinate complex calendars across multiple stakeholders, ensuring efficient scheduling and alignment
- Act as a liaison between internal teams and external partners, maintaining clear and timely communication
- Manage high-volume meeting requests, including logistics, invitations, and materials preparation
- Arrange meeting details such as conference rooms, virtual links, catering, and onsite coordination
- Track scheduling activity and maintain organized systems for visibility and follow-up
- Anticipate team needs and proactively resolve scheduling conflicts or administrative challenges
- Support process improvements related to meeting coordination and workflow efficiency
- Handle sensitive information with discretion and professionalism
Qualifications:
- 3+ years of administrative or coordination experience, ideally in a fast-paced corporate setting
- Bachelor’s degree preferred
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Familiarity with Google Workspace is a plus
- Exceptional organizational and multitasking abilities
- Strong written and verbal communication skills
- Professional presence with the ability to interact confidently with stakeholders
- High level of adaptability and attention to detail
