Who We Are:
Environmental and Safety Systems (CC57) is a dedicated team of professionals that provide support and guidance for SwRI operations as related to all environmental and safety matters. We actively engage with SwRI operations to ensure personnel safety and environmental protection. Primary responsibilities include regulatory compliance, recordkeeping, reporting, and coordination of regulatory inspections.
Objectives of this Role:
- Provide senior-level secretarial support for the staff of the Environmental and Safety Systems Department.
- Represent Department on administrative matters; recommend, interpret, and/or implement department administrative policies and procedures.
- Handle personnel and financial matters using independent judgement and discretion.
- Direct administrative activities and processes followed by clerical and secretarial staff in the department.
- Administer various programs required by the department.
Daily and Monthly Responsibilities:
- Answer phone and routes calls; deliver messages to staff; organize files; maintain databases and websites; generate reports and other materials in consistent formats, process invoices, requisitions and other SwRI forms.
- Coordinate travel, meetings, appointments, schedules, training, and other department activities.
- Handle diverse administrative functions including routine and non-routine tasks with minimal supervision.
- Perform proof reading of department documents; ensures proper formatting; and maintains document control procedures.
Requirements:
- Requires a high school diploma or equivalent.
- Certified Administrative Professional (CAP) is a plus
- 10 years: Requires excellent communication skills and interpersonal skills; must have excellent grammar, spelling and proofreading (English language).
- 10 years: Experience in a senior administrative/secretarial role.
- 10 years: High proficiency and extensive experience with Microsoft 365 applications (including Teams, Sharepoint, Word, PowerPoint, Excel).
- 10 years: Team player able to work under pressure; self starter and able to prioritize workload; excellent work ethic; able to exercise independent judgement in administrative matters; able to maintain confidentiality.
- A valid/clear driver's license is required.
Special Requirements:
Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information. Applicant must be a U.S. citizen.

- Chemistry and Chemical Engineering-Performing research and technical services using chemistry and chemical engineering technology.
- Defense and & Intelligence Solutions-Providing advanced direction finding and tracking systems through geolocation system development.
- Fuels and Lubricants Research-Performing fuels and lubricants research activities to meet regulatory and competitive goals.
- Intelligent Systems-Providing engineering services in resaerch and development of complex systems and equipment.
- Mechanical Engineering-Improving safety, reliability, efficiency and life of new or existing mechanical components or systems.
- Powertrain Engineering-Designing and developing vehicle and engine components to achieve performance and emissions goals.
- Space Science & Engineering-Developing and managing advanced scientific payloads aboard satellites and sounding rockets.
