Position Overview:

The Administrative Assistant provides high‑quality administrative and operational support to leaders and/or teams across the organization. This role requires strong organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast‑paced environment. The Administrative Assistant serves as a key partner in ensuring efficient day‑to‑day operations, clear communication, and professional coordination of administrative activities.

The Administrative Assistant will work five days a week on-site in Somerset, NJ.

 

Key Responsibilities:

Administrative & Operational Support

  • Provide day‑to‑day administrative support including calendar management, meeting coordination, travel arrangements, and expense reporting
  • Prepare, proofread, and format correspondence, reports, presentations, and other business documents
  • Organize and maintain electronic and physical filing systems; retrieve information as needed
  • Coordinate documents for review and signature, including routing via DocuSign or similar tools

Meeting & Communication Coordination

  • Schedule and organize internal and external meetings, including logistics and materials preparation
  • Serve as a point of contact for internal and external stakeholders; respond to routine and non‑routine inquiries professionally
  • Support preparation for leadership meetings by compiling materials, agendas, and follow‑up items
  • Coordinate end-to-end meeting logistics, including room setup, technology needs, catering/food orders, and preparation of agendas, materials, and supplies to ensure meetings run smoothly and professionally

Project & Task Management

  • Track tasks, deadlines, and action items to support timely completion of projects
  • Assist with special projects, presentations, and ongoing administrative initiatives
  • Support multiple leaders or departments as needed, prioritizing workload based on business needs

Confidentiality & Professional Judgment

  • Handle sensitive and confidential information with discretion and professionalism
  • Exercise independent judgment in organizing work, prioritizing requests, and resolving administrative issues

Other Important Responsibilities:

  • Interact with vendors, customers, and business partners as required
  • Order supplies and support general office operations as needed
  • Perform other related duties consistent with the role

 

Qualifications:

  • High school diploma or equivalent work experience required; associate or bachelor's degree preferred
  • 3–5+ years of experience in an administrative assistant or similar support role (scope may vary by level)
  • Strong organizational, time‑management, and prioritization skills
  • Excellent written and verbal communication skills
  • High attention to detail with ability to self‑review work for accuracy
  • Proven ability to maintain confidentiality and exercise sound judgment
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and document management tools
  • Ability to work independently and collaboratively in a fast-paced environment
