Albert A. Webb Associates (WEBB) is seeking a highly organized and proactive Administrative Assistant to support our Water Resources department. This role is ideal for a detail-oriented professional who excels in a fast-moving environment while providing critical support to ensure the successful execution of projects. As an Administrative Assistant, you will be a supportive role to ensure the successful completion of projects. Responsibilities
- Assist with clerical needs, including mailing, typing, server file management, meeting arrangements, and preparation of reports and related documents (including proofreading and formatting)
- Assist with project scheduling and appointments, issuance of transmittals, and calendar coordination via Outlook
- Assist with preparing and distributing meeting agendas and minutes, and following up to complete action items resulting from meetings internally, with clients, and agencies
- Assist in the preparation and compilation of project submittal packages as directed
- Perform basic project research
- Assist in preparation of initial project scope and proposals
- Assist with project billing, tracking the scope of work, and processing contracts and contract amendments
- Assist with coordination and management of sub-consultants as directed
Requirements
- High school diploma or equivalent; one year of experience in an office setting
- Proficient with internet research, MS Word & Excel; type a minimum of 40 words per minute and edit work for spelling and grammar
- Ability to interact and provide coordination with clients and team members
- Accuracy, thoroughness, and complete administrative tasks accurately and on time
- Flexibility and ability to deal with frequent changes, delays, and unexpected events
- Work well under pressure and meet critical deadlines
- Work independently with supervision; follow directions and obtain clarification when needed
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Ability to travel for research/processing, pick-ups, and delivery needs
- California Driver's License with a good driving record

Albert A. Webb founded Albert A. Webb Associates (WEBB) in 1945. With an education in civil engineering at Iowa State, Albert came to Riverside to become the Chief Engineer and General Manager of the Riverside Canal Company in 1934. Albert, along with his sons Ernie and Hubert, decided to begin an independent engineering firm so they could all work together. In 1948, WEBB moved to its present location on McCray Street in Riverside, California.
Albert had tremendous vision for engineering opportunities and for the company itself. He saw the importance of keeping a balance between both public and private work, a philosophy that continues nearly 70 years later. Albert saw each employee as an extension of his family and recognized each employee as a vital component to the success of the company.
