We are seeking an Administrative Assistant to assist in the needs of various Central Office departments, manage the Central Office reception area to ensure effective communication both internally and externally, and act as point person for production and materials assembly for agency personnel. This is a short-term position and you will work Monday through Friday from 8 a.m. to 4:30 p.m.
Job Responsibilities:
- Order and mail staff birthday cards, assist with assembly and preparation of various agency mailings, create mailing lists and label, and reserve meeting rooms upon request
- Manage all production requests adhering to turnaround times outlined in the trouble tickets received and maintain proper operation of production equipment
- Order all office supplies for Central Office, reset postage meter, maintain supplies, sort incoming mail, and handle Central Office van reservations
- Manage vending machine and related issues and assist various Central Office departments with projects as requested
- Complete assigned duties competently and within expected time frames
- Perform general reception and telephone operations.
- As a first point of contact, welcome guests in a friendly, professional manner
- Monitor intercom system to operate gates to allow entry/exit for guests and admit visitors in main entry door
- Handle and defuse crisis situations face-to-face and/or via phone
- Perform other duties as needed
