Job Title: Administrative Assistant - Purchasing
S.A. Comunale is seeking and Administrative Assistant to support the Purchasing Department.
The primary function of this role is to provide administrative support to the Vice President of Purchasing and the purchasing department.
This job requires the ability and desire to work in a fast-paced multi-tasked environment with a focus towards administration and customer service.
Essential Duties & Responsibilities:Primary duties and responsibilities include the following. Other duties may be assigned.
- Perform general office duties to include but not limited to: photocopying, faxing, filing, scheduling appointments for the Purchasing team, assembling and distribute training and price binders.
- Answer incoming calls professionally and route to the appropriate person in the department.
- Attend any necessary office meetings.
- Follow up on purchase orders to ensure delivery and troubleshooting issues that arise.
- Prepare and examine packing slips, ensuring PO numbers are correct and materials are ready to be shipped.
- Work in FMS, CRM, ERP, TCMS, and Pick systems.
- Create and process purchase orders.
- Distribute incoming mail.
- Assist buyers with ERP system maintenance, including updating vendor information and receiving material.
- Assist with the administration of company inventory, including sprinkler heads and inventory availability.
- Assist maintaining supplier relationships.
- Assist with invoice issues as needed.
- Work with material pullers to resolve questions and problems with orders.
- Work with designers/layout technicians to resolve stocklisting errors.
- High school diploma or GED is required.
- 3+ years of administrative experience is required
- Previous experience in purchasing, manufacturing or warehousing is a plus
- Significant experience with Microsoft Office programs with a focus in Excel is required.
