Our client is seeking a proactive and detail‑oriented Administrative Assistant to support senior leaders on the Private Equity investment team within a fast‑paced, high‑volume environment. This role supports a Managing Director, Director, Senior Advisor, and select additional team members. Hours are 8:45/9:00am-6:00pm with flexibility as needed, and the position follows a hybrid 4/1 schedule with Fridays remote.
Key Responsibilities:
- Manage complex calendars for multiple executives, coordinating meetings across internal teams, portfolio companies, board members, and external stakeholders
- Support heavy domestic and international travel including flights, hotels, visas, car services, and detailed itineraries
- Prepare and process monthly expense reports through Concur
- Assist with meeting preparation including materials, agendas, and coordination for board meetings or investor discussions
- Serve as a point of contact for internal and external partners with strong communication and professionalism
- Support scheduling for portfolio companies interacting with the MD
- Track priorities, adjust calendars on short notice, and maintain strong judgment when resolving scheduling conflicts
- Provide general administrative support including document preparation, data entry, and ad hoc projects
Qualifications:
- Bachelor's degree strongly preferred
- 5+ years of administrative experience, ideally within professional services such as finance, law, real estate, consulting, or FinTech
- Strong proficiency with Microsoft Outlook for email and scheduling (non‑negotiable)
- Experience coordinating international travel and managing expenses
- Highly organized with strong attention to detail and ability to adapt in a fast‑paced environment
- Excellent communication skills and ability to represent executives with professionalism
- Team‑oriented, collaborative, and comfortable supporting multiple leaders with varying styles
- Tech‑savvy and comfortable navigating modern administrative tools
Compensation/Benefits:
- Up to $120K-$130K base salary + paid overtime + discretionary annual bonus
