Administrative Assistant

A confidential, research‑focused organization is seeking an experienced Administrative Assistant to provide long‑term administrative support to a high‑functioning internal team. This 12+ month role in Lexington, MA, is onsite, has hours of Monday-Friday from 9:00 AM-5:00 PM and is compensating $25-$30/hour.
Key Responsibilities
- Provide comprehensive administrative support to managers and team members
- Answer and direct phone calls; respond to email inquiries professionally and promptly
- Organize and schedule meetings, appointments, and conference room logistics
- Maintain contact lists, filing systems, and administrative records
- Prepare, distribute, and track correspondence, reports, memos, and forms
- Assist with preparation of regularly scheduled reports and presentations
- Coordinate travel arrangements and reconcile expense reports
- Support visitors and respond to information requests
- Research, create, and format presentations and reports
- Handle invoices and monitor administrative transactions
- Manage office supplies and equipment, including inventory tracking and reordering
- Coordinate maintenance and repairs for office equipment as needed
- Support multiple projects simultaneously while meeting deadlines
Required Qualifications
- Minimum 3+ years of administrative assistant experience
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and attention to detail
- Strong customer service mindset
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Reliable work history demonstrating stability and follow‑through
- Ability to work fully onsite, five days per week
Preferred Qualifications
- Experience supporting HR, operations, or information systems teams
- Strong data entry skills and experience generating reports
- Experience reviewing data for accuracy and identifying discrepancies
- Familiarity with workflow or process improvement concepts
- Experience with SAP HR or similar systems
- Familiarity with service request or ticketing platforms (e.g., ServiceNow)
