The Administrative Assistant- Laboratory Services will work with pathologists, client services, and laboratory leadership to process outgoing testing requests on pathology cases, external consults, and internal consults. The Administrative Assistant – Laboratory Serviceshandles many administrative support functions for the laboratory. In addition, this role handles many office administrative duties including ordering and stocking of office materials, working with office vendors to provide timely and accurate service, and managing meeting rooms and shared office space. Experience in medical terminology and data entry is preferable.
Responsibilities:- Assist with pulling of reports and slides to support pathology operations.
- Liaise with pathologists and lab staff to ensure timeliness of subpoena requests, external consults, and internal consults.
- Coordinate the send out of pathology material for consultation or additional testing.
- Schedule pickup requests with shipping vendors and/or reference lab couriers.
- Answer telephone calls and provide customer support to clients to fulfill continuum of care consult requests.
- Develop or maintain accurate workflow checklists and SOPs.
- Performs a large array of administrative support for the laboratory including taking meeting minutes, managing calendars and organizing meetings, maintaining digital/physical records, pulling metric reports, and reconciliation of invoices.
- Work with office vendors to ensure timely service and delivery of supplies.
- Participate in meetings and assigned training.
- Complete special projects.
- Other duties as assigned.
- High school diploma required, associate degree preferred; strong data entry skills.
- Knowledge of medical terminology is preferred.
- 2 years’ experience as a lab assistant, specimen processor, pathology assistant, pathology office administrative assistant or relevant experience in a lab is preferred.
