Administrative Assistant II

This position is responsible for ensuring that all administrative requirements throughout the Company are met. This includes but is not limited to Marketing, Quality, Operations, Engineering and HR. Provides clerical support for the General Manager as required.
Duties/Responsibilities:
- Performs wide variety of administrative and secretarial duties requiring knowledge of functional organization and operating procedures. Duties require knowledge of operations and policies, with a high level of technical skills and experience and discretion.
- Exercises independent judgment.
- Assists executive staff in all aspects of executive meetings including meeting scheduling & presentations.
- Interacts frequently with executives both inside and outside the company regarding business of a complex and confidential nature.
- Responsible for the upkeep, revision and control of the Document Control Program which includes all company procedures and specifications.
- Interfaces with a wide variety of employees and assists in explaining executives’ requirements to other employees within the organization.
- Provides ongoing training for front desk and adequate backup coverage.
- Responsible for coordinating and booking of travel arrangements for the company.
- Purchase, receive and store the office supplies ensuring that basic supplies are always available.
- Assist in the planning, coordination and communication of company and special recognition events
- May Assist Sales/Marketing or other Departments by providing support for special projects.
- Manages employee PPE voucher program.
- Assists and facilities customer visits.
- Responsible for invoice management.
- This position may require overtime for coverage on alternate shifts and weekends.
- Will be required to perform other duties as requested, directed or assigned.
Requirements:
- Associate’s degree in Secretary Science or equivalent experience.
- 5 to 7 years Secretarial/Administrative experience.
- Must be detail oriented and have great organization skills.
- Ability to manage critical tasks independently and work in collaboration with others are a must.
- Excellent communication/interpersonal skills.
- Must have proficiency and a solid working knowledge of the Microsoft and related software.
- Ability to multi-task
