Administrative Assistant


Location: Greenwich, CT
Schedule: Monday – Friday, 8:30 AM – 4:30 PM

About the Opportunity

A well-established nonprofit organization in Greenwich is seeking a highly organized and professional Administrative Assistant to support senior leadership and daily office operations. This role works closely with executive leadership and plays a key part in maintaining efficient administrative and HR processes across the organization.

Key Responsibilities

  • Answer phones and welcome visitors in a professional manner

  • Manage calendars, schedule appointments, and coordinate meetings

  • Organize staff meetings, board meetings, and special events

  • Prepare and edit correspondence, reports, and presentations

  • Maintain electronic and physical filing systems

  • Distribute incoming mail and manage office communications

  • Reconcile expense and spending reports

  • Take meeting minutes and support Board and committee interactions

  • Coordinate virtual and in-person meetings and webinars

  • Assist with employee onboarding and offboarding processes

  • Support performance evaluation tracking within HR systems

  • Help coordinate employee trainings and internal events

Qualifications

  • Bachelor’s degree preferred

  • Minimum of 2+ years of administrative experience in a professional office environment

  • Excellent organizational and multitasking skills

  • High level of professionalism and discretion when handling confidential information

  • Strong written and verbal communication skills
