We are currently seeking an Administrative Assistant in the Fort Lauderdale, FL area. This is a fully in-office contract role through April 16, 2026, with the possibility of an extension.
ROLES AND RESPONSIBILITIES:
- Busy season Preparing, making changes and Finalizing SOW's
- Creating SOWS -Upload unsigned and signed ATS/SOWs in UserVerse /PeopleSoft
- Upload 8879's in UserVerse -E-filing
- Update DDT (confirm all signed TCC, SOW, E-file authorizations/acceptance, tax return is in UserVerse prior to complete)
- Update workflows as needed
- Creating/changing/updating info on PeopleSoft (contacts, billing authority/specialist, renewals)
- Smartsheet
- New Client set up
- Checking payment information/details
- Checking the Pools in UserVerse
- Global Portal
- CRM
- Front desk coverage
- Answer/ Transfer incoming calls
- Create UPS or FedEx Labels for outgoing packages Certified mail
- Check the conference room calendar making sure we have everything we need before a meeting.
- Correspondence Assistance
- Expenses
KNOWLEDGE, SKILLS, AND ABILITIES:
- High School diploma, GED or equivalent required
- Three (3) or more years of administrative experience required
- Advanced level of proficiency in Microsoft Office Suite required
- Ability to work in a deadline-driven environment and handle multiple projects / tasks with an attention to detail
- Advanced or expert in computer skills: Word, Excel, Outlook, PowerPoint. Experience in Peoplesoft database recommended.
- Excellent written and oral communication skills including superior grammar, spelling, and punctuation that enable the incumbent to work with top level management and other executive level clients.
- Possesses superior customer service skills. Displays independent judgment, finesse and diplomacy in all situations
- Consistently seeks to improve processes
- Excellent organizational skills and detail oriented that enable efficient and effective multi-tasking.
- Capable of managing highly confidential information.
- Ability to work well with all levels of management as well as outside external clients
- Team player who is willing to help out as needed
