We are seeking a dynamic and detail-oriented Accounts Receivable Specialist to join our growing team in the aviation industry. This is an onsite, permanent position with a focus on invoicing, B2B collections, and high volume calls. The successful candidate will be responsible for managing a portfolio of client accounts, maintaining accurate records, and ensuring that payments are processed in a timely manner. This role is integral to maintaining the financial health of our organization and requires a high level of precision, organization, and advanced Excel skills.

Job Details
Responsibilities:
1. Provide administrative support to customers, including scheduling meetings, managing calendars
2. Maintain and update databases, ensuring that all information is accurate and up-to-date.
3. Assist in the preparation of reports and presentations, using MS Office Suite, with a focus on Word and Excel.
4. Manage and track logistics related to construction projects, ensuring all materials and equipment are delivered on time.
5. Handle routine correspondence, including drafting and responding to emails in a timely and professional manner.
6. Perform data entry tasks, ensuring all data is accurate and up-to-date.
7. Follow up on action items and deadlines, ensuring tasks are completed in a timely manner.
8. Liaise with internal and external stakeholders, providing excellent customer service at all times.
9. Assist in the coordination and planning of events and meetings.
10. Perform other administrative tasks as needed, including filing, photocopying, and managing office supplies.
Qualifications:
1. Minimum of 2 years of experience in an administrative role, preferably within the construction industry.
2. Proficiency in MS Office Suite, particularly Word and Excel.
3. Experience with logistics and calendar management.
4. Exceptional organizational skills, with a keen eye for detail.
5. Excellent written and verbal communication skills.
6. Ability to prioritize tasks and manage time effectively.
7. Proven experience in data entry and record keeping.
8. Experience with Outlook and other email management tools.
9. Ability to work independently and as part of a team.
10. Aviation experience is a plus, but not required.
11. Exceptional follow-up skills, with the ability to track and manage multiple tasks and deadlines.
12. Strong problem-solving skills, with the ability to think critically and make informed decisions.
