This Administrative Assistant / Contractor Administrator position offers a dynamic opportunity to support project operations and office management while working closely with project managers and leadership in a fast-paced, business-casual work-from-office environment. Qualifications and responsibilities for this Administrative Assistant / Contractor Administrator position include:
- Manage incoming calls, voicemail, and maintain the company phone list while coordinating phone setup with service providers for new employees.
- Request, track, and maintain Certificates of Insurance and tax exempt certificates for projects including renewals.
- Maintain and update job lists and project documentation for owners and project managers.
- Handle incoming and outgoing mail, including stamping, distributing, and managing postage supplies.
- Enter and maintain new job information in Sage with accurate project and accounting details.
- Maintain bid folders and bid calendars by monitoring platforms such as DAS Portal, ConstructConnect, CT Source, DCAMM, Bid Express, Central Register, Project DOG, Bid Docs, and municipal bid postings.
- Prepare and submit bid forms, RFQ forms, bid bonds, and payment & performance bonds according to required timelines.
- Maintain documentation for accident reports, manage office and kitchen supplies, and assist with special administrative assignments as needed.
Salary: $75,000 - $80,000 per year, commensurate with experience.
