Burnett Specialists is partnering with a leading company in the marine transportation industry to hire a Contract Administrative Assistant for a 2–3 month assignment. This role will provide critical support while the organization completes its internal hiring process, and candidates must be able to commit to the full duration of the assignment.



Position: Administrative Assistant (Contract) 

Location: Downtown Houston

Parking: Free/Provided

Schedule: Monday – Friday: 8am—5pm

100% In-Office

Pay: $28/hour—$31.25/hour

JOB DESCRIPTION

Job Summary

This role is responsible for supporting the legal department to provide comprehensive administrative support to our attorneys and insurance functions - ensure the smooth operation of our legal department.

 Essential Duties and Responsibilities

  • Provide general administrative assistance to Insurance Compliance Officer and General Counsel to include calendaring, word processing, meeting coordination, etc.

  • File legal documents in appropriate repositories and manage records, projects, and calendars to ensure smooth operations. This includes maintaining an organized filing system, both physical and electronic, to ensure easy retrieval of documents.

  • Legal invoice processing, tracking and management using Legal Tracker and/or other tools. – adding the correct department codes. Not creating T&E invoices.

  • Provide assistance to the insurance function by reviewing notes of insurance, providing COIs to customers.

  • Responsible for communicating with insurance representatives and maintaining the approved suppliers list through Oracle database.

  • Maintain insurance records and ensure Certificates of Insurance (COIs) are requested, received, and distributed in a timely manner.

  • Monitor and process incoming correspondence to ensure documents and communications are reviewed and addressed promptly.

  • Demonstrate a proactive approach by anticipating needs, identifying tasks that require attention, and supporting the team without waiting for direction.

  • Excellent planning, organization, and multitasking skills. The ability to prioritize tasks and manage time effectively is crucial.

  • Strong written and verbal communication skills. The ability to draft clear and concise legal documents and correspondence is essential.

  • High level of accuracy and attention to detail. This is critical for ensuring that all legal documents are error-free and comply with legal standards.

  • Ability to handle sensitive information with discretion. Maintaining client confidentiality and adhering to ethical standards is paramount.
