Accounts Payable Specialist

- Executes AP workflow, including the processing of payables transactions, including purchase orders/check requests, invoices, and expense reporting
- Reviews and inputs invoices and other transactions with accuracy, proper coding and documentation, alignment to company policies, and verifies proper approval and authorizations in accordance with the Delegation of Authority and other controls
- Maintain vendor file. Set up new vendors and verify the accuracy of vendor information, including Fed ID/W-9 adherence, contact address and payment information
- Assist with secure, accurate, and timely vendor batch processing, adherence to cash controls and the usage of ACH/Wire payments, credit cards, and the limited use of direct drafts
- Maintain proper interdepartmental communications, external publisher, and internal operator relations and interactions. Assist Finance department with communicating and training new employees with proper coding and using the expense reimbursement system
- Ensure compliance with federal and state regulations governing payments to vendors, and understanding proper IRS tax documents and plans
- Manage disputed invoices and resolve any outstanding issues in a timely manner
- Process and manage review of expense invoices through system approval workflow
Requirements:
- Degree in Finance or Accounting, preferred
- 3+ years of accounting experience with a focus on Accounts Payable (AP)
- Experience working in a publicly traded organization, preferred
- Proficiency in Netsuite accounting system, preferred
- Strong verbal and written communications
- Experience with Google Suite and Microsoft Office Suite
- Advanced Excel skills and comfortable dealing with large volumes of data
- Ability to work well under deadlines and impeccable attention to detail
- Excellent time management, analytical, and organizational skills
- Ability to maintain a high-level of confidentiality
The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future.
We offer comprehensive benefits including medical/dental/vision insurance, HSA, FSA, 401(k), and life, disability & ADD insurance to eligible employees. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave.
