Accounting Specialist / Executive Admin

As an Accounting/Executive Admin Assistant, you'll provide essential accounting and administrative support, handling accounts payable, receivable, and financial reports. You'll also assist leadership with clerical tasks like managing calendars, scheduling, and preparing presentations. Key Responsibilities
Accounting
- Process payroll, reimbursements, tenant payments, and rental assistance.
- Manage accounts payable, track expenses, budgets, and NSF checks.
- Oversee cash drawer, deposits, invoicing, and company credit card statements.
- Assist with audits, manage petty cash, and TriMet Grant fare distribution.
- Review leases, monitor cash flow, and recommend fund transfers.
- Renew permits, act as liaison for external accountants, and review monthly financials.
- Support finance team with funding strategies, policy development, and special projects.
Executive Support
- Collect and distribute mail, emails, and faxes.
- Organize meetings, send invites, update details, and prepare materials like agendas and presentations.
- Coordinate travel, conferences, and events.
- Manage executive scheduling, attend meetings, and take notes.
- Prepare reports, presentations, and communications for internal and external use.
- Assist with credit card receipt coding and submission.
- Complete special projects while adhering to company policies and confidentiality regulations.
Skills desired:
- Bookkeeping or AP/AR and administrative experience.
- Associate’s degree preferred.
- Proficiency in Microsoft Office (Excel, PowerPoint).
- Strong written communication skills.
- Ability to learn digital platforms quickly.
- Excellent communication and conflict resolution skills, with a trauma-informed approach.
- Ability to work in a diverse, collaborative environment and promote inclusion.
$60,000 - $68,000
