Accounting Operations Lead (Onsite)

Overview

The Accounting Operations Lead will serve as a central contributor within a small, highly experienced accounting team, taking ownership of day‑to‑day accounting processes while supporting modernization and process improvements. This role is ideal for someone who enjoys rolling up their sleeves, thrives in a traditional onsite environment, and brings strong experience with AP, reconciliations, credit card administration, and legacy accounting systems. The Accounting Operations Lead will be trusted to operate with autonomy, accuracy, and a high level of accountability.


Core Responsibilities & Time Allocation

1. Full‑Cycle Accounts Payable & Balance Sheet Reconciliations — 50%

  • Own the full AP cycle, including invoice matching, coding, batching, and check runs (an opportunity for the Accounting Operations Lead to streamline to weekly).
  • Maintain approximately 50 invoices every two weeks.
  • Manage and reconcile deposits on equipment, ensuring deposits are accurately applied to incoming invoices and monitored proactively.
  • Navigate and optimize workflows within a legacy NDS/DOS‑based system.

2. Corporate Credit Card Program Management — 25%

  • Oversee rollout and ongoing ownership of the Wells Fargo credit card/expense platform.
  • Collect and match receipts, enforce policy adherence, and ensure accurate GL coding.
  • Communicate with employees regarding submission expectations and deadlines.
  • As the Accounting Operations Lead, identify opportunities for workflow cleanup, standardization, and efficiency.

3. Sales Tax Support & Reporting — 25%

  • Assist with multi‑jurisdiction sales tax activities.
  • Utilize Excel to compile, validate, and prepare tax data.
  • Contribute to improving sales tax documentation and process consistency.

4. Additional Responsibilities

  • Support general accounting functions such as reconciliations, cash receipt posting, and other daily accounting tasks.
  • Provide stability and continuity within a function undergoing post‑acquisition modernization.
  • Collaborate closely with long‑tenured team members while bringing fresh perspective.
  • As the Accounting Operations Lead, help shape, refine, and document emerging processes.

Minimum Qualifications

Required

  • 5–6 years of hands-on experience in a corporate/industry accounting department (non‑public).
  • Comfortable working with multiple systems, including legacy DOS‑based platforms (e.g., NDS or AS400).
  • Strong system-learning ability and comfort with manual, detail-heavy environments.
  • Solid understanding of AP workflows, reconciliations, and foundational accounting principles.
  • Proficiency with basic Excel functions
  • Ability to work independently, take ownership, and follow through consistently.

Preferred (Nice-to-Haves)

  • Direct experience with larger ERP systems
  • Prior involvement in process improvement or workflow redesign.
  • Intermediate Excel capabilities (lookups, pivot tables).
  • A steady, mature communication style that complements a legacy‑based team culture.
