Responsibilities:

  • Manage the day-to-day activities of analysts as it relates to bulk transfers, including:
    • Transferring media and creating custom reports as requested from client/new servicer;
    • Reviewing new servicer transfer instructions and creating gap analysis to company’s standard;
    • Managing open tax, insurance, private mortgage insurance, and task items;
    • Setting up and managing conference calls and prepare agenda/minutes;
    • Managing project plans;
    • Balancing transfer reports and wire funds, as applicable;
    • Preparing final service release client billing.
  • Coordinate the transfer execution timeline with clients and buyers.
  • Manage the service release component of the Transfer Operations department schedule.
  • Manage the relationships between clients, analysts, service providers and third-party servicers. 
  • Ensure all internal transfers are handled timely and efficiently, and that all applicable tools are utilized to their fullest.
  • Proactively manage the interim servicing client in relation to the timely release of loans.
  • Notify all affected parties of pending transactions, including the transfer parameters. 
  • Coordinate and manage servicing system modification (if any), to support the transferring loan portfolios.
  • Ensure all RESPA letters are processed timely.
  • Coordinate and manage due diligence processes in conjunction with other departments; ensure quality assurance protocol is in place and being monitored/documented.
  • Ensure reports of all findings from quality reviews are produced and distributed to management.
  • Identify and manage key risk indicators (KRI) and key process indicators (KPI).
  • Manage the reconciliation and balancing of Portfolio Transfers GL accounts for transfers. Identify discrepancies; notify analyst and manager and recommend adjustments and follow-ups to facilitate the prompt disbursement of funds due.
  • Ensure escrow funds are released timely to clients or new servicers.
  • Create and update policies and procedures annually at minimum.
  • Act as liaison with clients and Client Relations until all tasks and transfer-related items have been cleared.
  • Support responses to or participate in audits and exams. Identify and implement process improvement opportunities.
  • Develop performance metrics for all positions within the span of control and ensure they are monitored and tracked
  • Develop and maintain staffing models and training plans for staff members.
  • Facilitate workstation enhancements, changes, and training for staff members. Coach and mentor employees based on performance metrics and quality assurance results.
  • Prepare the employee performance ratings, discusses performance and resolves personnel issues i.e.: absenteeism, lateness, inadequate performance, attitude, etc.
  • Attend calls regarding implementation of new or updated MSP/Black Knight functionality relating to service releases.
  • Other duties as assigned.

Job Requirements

  • College degree in business preferred
  • 5-7 years’ mortgage servicing and or mortgage transfer experience at a management or supervisory level; specifically in the functions of investor accounting/reporting, escrow functions, internal/external audit, and controls
  • MSP/Black Knight mortgage servicing system experience preferred
  • Aptitude to learning company servicing system and other systems and applications
  • Supervisory or management experience; experience with developing and maintaining staffing models
  • Ability to function with minimal direction and perform diverse activities simultaneously.
  • Proven ability to create quality assurance protocols and monitoring for all functions
  • Excellent written and verbal communication skills, with the demonstrated ability to work in a team environment
  • Professional presentation and demeanor
  • Overtime is a condition of employment.
  • Proficiency in Microsoft Office suite, particularly Word and Excel
