Job Description

Overview

The HOA Coordinator is responsible for providing administrative support to the Land Development Department in the creation of community structures including master and sub-homeowner associations, maintenance fee designations and budgets, community development districts and condominium and common associations.



Responsibilities

  • Provide HOA administrative support to Land Development Department
  • Assist in creation of all documentation required to form community associations, including Articles of Incorporation, Declaration of Covenants and By-Laws
  • Request associations be incorporated and request FEI Number be assigned through HOA Manager
  • Package all required documentation and send to appropriate counsel to submit to the State of Nevada for approval
  • Provide information to legal counsel and engineers for amendments preparation of community documents
  • Assist in review of all documents with appropriate parties to ensure required compliance
  • Establish and maintain files for all HOA and community development projects
  • Ensure insurance requirements are compliant for all HOA communities
  • Confirm the insurance requirements for the associations including e.e. property, liability, bonding, D&O
  • Select and approve quotes obtained by HOA manager for required coverage
  • Coordinate with Lennar Sales Team to ensure timely creation of documentation necessary for  sales
  • Assist in creating necessary sales forms in SalesForce, including MDIAs
  • Acquire required documentation ensuring projects are submitted timely for lending requirements
  • Works closely with third party HOA Management Companies
  • Acquire and maintain current knowledge of state regulatory statutes and client’s community’s documents, policies and procedures
  • Sit on HOA Board of Directors as required
  • Ability to run Board Meeting according to Robert’s Rules of Order
  • Assist in preparation and review of all budgets for new communities and those submitted by management companies for designated associations
  • Track closings for the communities to ensure that all information is consistent between Lennar and the Management company
  • Prepare and gather information for developer transitions of associations
  • Respond to phone calls, email and all other correspondence in a timely, professional manner
  • Perform all other duties as assigned


Qualifications

EDUCATION AND ADDITIONAL REQUIREMENTS:

 

  • One (1) to three (3) years HOA experience, preferably with homebuilding or related industry
  • High School diploma or GED required
  • Strong written and verbal communication skills
  • Intermediate to advanced PC skills Microsoft Word and Excel.  
  • JD Edwards experience a plus
  • Good interpersonal skills and ability to communicate effectively with management, associates, and other outside entities. Matters discussed require some resourcefulness, patience, and clarity
  • Team player

 

PHYSICAL REQUIREMENTS:

 

This is primarily a sedentary office position, which requires the ability to occasionally bend, stoop, reach, lift, move and carry office supplies and materials weighing 25 pounds or less.  Finger dexterity is required to operate a computer keyboard and calculator.  Must be able to operate a motor vehicle. May be required to work in excess of 8 hours per day and outside a normal 8am - 5pm schedule.
