Job Description

SUMMARY:
Under the direct supervision of the Director of Human Resources, and according to established Firm policies and procedures, the Benefits Administrator is responsible for administration of employee benefits for firm wide operations. Manages the benefit programs and improvements to the existing benefit plans. Develops, recommends and installs approved, new or modified plans. Supervises administration of existing plans. Develops cost control procedures to assure maximum coverage at the least possible cost to the firm and employee.  Leads, develops and manages the performance of the Benefits Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Administers firm wide employee benefits programs including self-insured medical/dental/vision plans, flexible spending accounts, health savings accounts, group and individual long term disability; life insurance plans, approved leaves, voluntary benefits, long term care plan, wellness and employee assistance programs, and worker’s compensation.
2. Makes recommendations to the Director of Human Resources and the Pension and Benefits Committee concerning modifications in the benefits program, and creates the quarterly agenda for the Pension & Benefits Committee.
3. Develops long range objectives regarding benefit programs; reviews short and long range cost estimates/projections and relevant statistical analyses.
4. Recommends classes of eligible employees for new or modified plans, and develops census data and solicits insurance companies for quotations.
5. Evaluates provider proposals and makes recommendations. Compiles and assesses firm cost for new plans and makes recommendations concerning cost-sharing between employer and employee.
6. Develops and implements communication strategies for benefits information utilizing various methods (verbal, written, intranet, U.S. Mail, etc.).
7. Organizes and facilitates information sessions and enrollment meetings at multiple office locations with the support and collaboration of Office Administrators.
8. Oversees the plan documentation of benefit agreements and policies.
9. Evaluates and compares existing Firm benefits with those of other employers by participating in and reviewing surveys, and other sources of information, from relevant geographic areas and the legal industry.
10. Ensures prompt and accurate compliance by providers and administrative staff related to healthcare laws at the local, state, and federal level.
11. Determines fiscal requirements of benefit plans and prepares budgetary recommendations; monitors, verifies and reconciles expenditure of budgeted funds.
12. Assures the Firm’s compliance with provisions of Employee Retirement Income
Security Act.
13. Prepares reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies.
14. Reviews and analyzes changes to state and federal laws pertaining to benefits, and reports necessary or suggested changes to management in a timely fashion.
15. Assures that existing and new benefit programs are adaptable to the Firm’s internal information technology and HR reporting systems.
16. Develops benefit information and statistical and census data for actuaries, insurance carriers, and management.
17. Handles benefit inquiries and concerns to ensure quick, equitable, courteous resolution. Maintains contact in person, and by phone or mail, with hospitals, physicians, insurance companies, employees, and beneficiaries to facilitate proper and complete utilization of benefits for all employees and partners.
18. Verifies the calculation of the monthly/quarterly premiums for all benefit plans relative to premiums, claims, and costs. Works with Payroll and HRIS Administrator coordinating the Benefit deductions and reports. 
19. Ensures the proper maintenance of benefits records (enrollment, claims, life change events, etc.).
20. Provides strategic and operational direction to the Benefits Manager, along with performance management and development.
21. Makes certain that the Health Insurance Portability and Accountability Act (HIPAA) is followed internally and with our external providers safeguarding the medical information of our employees and partners.

Job Requirements

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Bachelor’s degree required, Master’s degree a plus.
2. Minimum of ten (10) years’ experience in Benefits Administration. 
3. Large law firm experience a plus.
4. Proficiency navigating a human resources information system for data inquiries, reporting and analysis, etc.
5. Experience with Ceridian’s Dayforce a plus, but not required.
6. Strong interpersonal skills necessary for effective verbal and written communication with a diverse group of attorneys, staff, and providers to provide information with courtesy and tact.
7. Work occasionally requires more than 40 hours per week to perform the duties of the position
