Job Description

Position Overview

The Client Service Coordinator (CSC) is responsible for day-to-day case management of clients who receive behavioral health services under the ABA line of business.  The CSC works with the other members of each client’s team, including, but not limited to, our internal operations and clinical teams, other case managers, adjunctive services providers, parents, teachers and other school personnel, camp directors and counselors, other mental health providers, and Managed Care Organizations (MCOs).  The CSC is responsible for coordinating timely communication, authorizations, and approved services for each client assigned to their caseload.

Staff Related Responsibilities

  • Participating in recruiting efforts: review emails, contact and collect paperwork from candidates, schedule and conduct interviews, complete new hire package and send to Aveanna, schedule training and ensure participation in new staff training

  • Selecting & offering appropriate cases to staff

  • Distributing client specific documents

  • Gathering documents to initiate credentialing

  • Collecting weekly required encounter forms and progress notes

  • Collecting required documentation for submission of client authorization and re-authorizations

  • Reviewing accuracy of encounter forms and progress notes

  • Entering accurate data into GLS system for weekly payroll processing

  • Communicating case updates with staff in a timely manner

Client Related Responsibilities

  • Contacting new referrals

  • Scheduling & supporting evaluations and re-evaluations

  • Verifying eligibility

  • Distributing intake packet

  • Collecting & completing required documentation for the client file

  • Filing documentation as per funders’ requirements

  • Pursuing authorization of services with funders

  • Identifying available staff

  • Distributing updated case documentation

  • Informing families of updates related to their child’s services

  • Collecting and maintaining updated clinical paperwork for assigned cases

  • Reviewing accuracy of submitted documents


  • Must be able to work in a shared office environment.

  • Documenting all communication in GLS system and client file

Office Related Responsibilities

  • Participating in and preparing for weekly internal team meetings.

  • Maintaining client and staff confidentiality awareness of surroundings when disclosing confidential information, , etc.).

  • Participating in initial staff orientation and group interview, as needed

  • Maintaining good communication and appropriate interactions with all team members to ensure quality services with all clients and staff.

  • Flexibility of work schedule, based on the needs of the clients.

  • Ability to prioritize information by responding to pertinent and priority e-mails and phone calls in a timely manner.

  • Commitment to a person- and family-centered treatment approach.

  • Understanding of behavior analytic approach to treatment.

  • Ability to adapt to the changing healthcare environment and legislation.

  • Fluent utilization of electronic management systems (GLS, Workday, Elsevier, Rethink)


  • Bachelor’s degree from a recognized higher education institution.

  • Experience with computer hardware and software.

  • Excellent verbal and written communication skills in English (speak, write, read and understand).

  • Attention to detail and excellent time management.

  • Ability to work in a fast-paced environment.
