Job Requirements of Center Administrator Assistant:
Essential Functions
These essential functions include but are not limited to, the following. Additional essential functions may be identified and included by the Agency.
Planning and Developing
Assists in planning for field trips by the program schedule and field trip plan.
Assists with ensuring staff-to-child ratio is maintained during all hours of operation.
Take a leadership role in planning and maintaining full parental involvement at the center level. Provide resources to Parent Committee members.
Operates the center in conformity with governmental and agency standards for the physical safety and well-being of children and adults at the center.
Assists in the development and implementation of goals, policies, and activities to achieve the implementation of the program’s mission, objectives, and performance standards.
Must be detail-oriented and possess excellent organizational and analytical skills with the ability to research best practices and compliance guidance, complete work accurately, meet deadlines and follow through on job duties and projects.
Ability to prioritize workload, multi-task, and be flexible.
Communicating
PAssistsin the distribution of memos, letters, menus, newsletters, and other materials to parents.
Communicates with parents by exhibiting sensitivity towards the needs and individual differences of children and adults.
Requests additional human or material resources promptly as needed. Should have the ability to seek supervision and use it constructively.
Provides an arena for parents’ concerns, questions, etc., and communicates with them in a congenial, non-threatening manner.
Recruit and recommend classroom substitutes, volunteers, and in-kind contributions.
Recruit children for enrollment in Head Start.
Ability to convey information in a way that is strategic, honest, timely, and respectful.
Enthusiasm for data, analytics, and data-driven decision-making.
Personal qualities of integrity, credibility, and commitment to the mission of Hinds County Human Resource Agency.
Excellent organizational skills, strong attention to detail, customer service, interpersonal, and communication skills.
Serves on program committees and committees and boards of other organizations affiliated with children and families.
Training
Provides orientation for new employees, volunteers, and parents as assigned.
Participates and/or conducts staff meetings, team planning sessions, parent meetings, workshops, and training sessions, including, but not limited to, Policy Council training, serving on various committees, and other pertinent meetings, as necessary.
Monitoring
Assists in evaluating and monitoring the performance of center-level staff.
Rides with Bus Drivers as required, reporting any areas where improvement is needed.
Inspects buildings and grounds for cleanliness needed repairs, and general upkeep and makes reports to the appropriate person(s).
Conducts ongoing monitoring of all component areas and submits reports to the Center Administrator.
Must be able to accurately enter data into the Child Outcome Planning Administration software.
Prepares and submits reports as required.
Performs management oversight monitoring of assigned center.
Regularly monitor key metrics and report significant changes or trends.
Develop and maintain documentation of data analysis and synthesis methods and processes.
Record keeping and Reporting
Assists in conducting and documenting monthly fire drills and periodic tornado drills.
Inspects buildings and grounds cleanliness, needed repairs, and general upkeep and makes reports to the Center Administrator.
Keeps up-to-date records, collects reports, writes and makes reports, and submits them to the Center Administrator.
Maintains confidentiality of records.
Assists with conducting and aggregating data from parental surveys.
Requests needed supplies/equipment promptly by procedures.
Assist with keeping up-to-date center records and reports by the administrative work plan, State regulations, and the Head Start Program Performance Standards and other regulations.
Submits reports or ensures that required reports are submitted by the State Department of Health regulations and applicable State laws, including, but not limited to, those concerning child abuse and neglect, and diseases.
Submits Ongoing Monitoring Reports to the Center Administrator.
Strong computer literacy skills (Word Processing, Word Perfect, database and spreadsheets, internet and email use required).
Supervising and Evaluating
Assists with scheduling specific assignments/duties for monitoring children’s arrivals and departures, riding with transporters, and planning classroom, home-based, and center activities.
Assists with planning, implementing, and evaluating ongoing professional development for assigned staff.
Assists with monitoring the implementation of the education and child development services program.
Assists with making recommendations on personnel actions involving employees at the center level.
Must be able to use sufficient judgment to function in crises.
Additional Responsibilities
Performs other duties and assignments as directed by the supervisor.
Desire to be a part of a diverse team and the ability to both think independently and work collaboratively.

Physical Requirements
While performing the duties of this job, the employee is frequently required to move around the center and use hands to finger, handle, or feel objects.
The employee must be able to interact with the children and be able to lift and/or move up to 40 lbs. if necessary to lift a child. While performing the duties of this job, the employee primarily works in indoor conditions.
Supervisory Control
The Assistant Center Administrator is responsible to the Center Administrator, who is responsible to the Associate Vice President of Head Start and Early Childhood Programs. The Assistant Center Administrator will be evaluated semi-annually by the Center Administrator. The evaluation will be conducted through a process of performance monitoring and progress reviews. The evaluation will be reviewed and approved by the Assistant Vice President of Center Operations.

Center Administrator Assistant
Characteristics of Work
Under the direction of the Center Administrator, the Assistant Center Administrator will be responsible for assisting the Center Administrator and for the overall operation of the Center in the Center Administrator's absence.
Minimum Qualifications
B.S. Degree in Early Childhood Education, Child Development, Business Administration, or closely related field, i.e., Social Work, Psychology, or Public Administration, with at least two (2) years of supervisory experience.
OR
An Associate’s Degree in Early Childhood Education, Business Administration, or a Child Development Associate (CDA) Credential, and four years of related experience with at least two (2) years of
Supervisory experience working in a preschool program. Must be able to communicate effectively, orally and in writing. Must have good basic computer skills.
