JOB SUMMARY
Reporting to the Chief of Staff with direct oversight by the Dean's Executive Assistant, the Events Coordinator will work across departments at DCE to ensure smooth delivery of DCE events.
JOB SPECIFIC RESPONSIBILITIES
The Events Coordinator is a key member of the Dean's Office and plays a critical role in the operations of the Division of Continuing Education (DCE.) They will work across departments to help plan key DCE events sponsored by the Dean's Office, Alumni Affairs, and other departments as deemed appropriate. The Coordinator will also be responsible for creating events to engage staff and build community. They will provide on-site service and support to ensure smooth delivery while maintaining consistency in the quality of events. Marquis events include Commencement, Convocation, Staff Appreciation, All Staff Meetings, New Employee Orientation, and Staff Recognition. In addition, this position will be responsible for internal communications to ensure DCE staff are kept informed of DCE events and receive timely administrative updates and are aware of engagement opportunities within the Harvard.
Other duties and responsibilities include:
• Develop ideas and execute plans for internal events to drive community engagement, education, and reward employees at DCE.
• Collaborate with planning partners across departments to determine event objectives and requirements.
• Oversee all administrative functions, including management of event invitations, RSVP lists, event registrations, responses to inquiries, and event metrics.
• Evaluate internal and external vendors based on requirements and coordinate food, audio/visual equipment, and linens with a focus on creating an inclusive environment.
• Organize logistics, supervise volunteers, and produce materials, including signage, badges, place cards, seating tickets, attendee lists, agendas, maps, and other materials.
• Administer budget and tracking of event metrics and statistics; manage reimbursement process for events team.
• Coordinate and oversee agendas for visitors from other universities.
• Maintain event website(s) and calendars of internal/external events relevant to staff and develop the communication plan to publicize events.
• Working closely with senior leaders, ensure key administrative, department, and DCE-wide initiatives are communicated timely and efficiently to employees.
• Maintain employee communications through various channels, including email, newsletters, intranet, websites, video monitors, and internal messaging boards.
• Ensure internal communication messages are consistent with external communication messages.
The Event Manager may be asked to do the following as determined by Harvard management Assume full or partial control of all aspects of an event. Delegates duties and or tasks to others. Responsible for full or partial client contact. Completes reports or paperwork. If an Agency employee is injured, may be required to complete reports and immediately contact Harvard and Agency management. Performs other duties and tasks as assigned.
