File Coordinator
Job Description
BASIC FUNCTION
The position of File Coordinator is assigned the task of being responsible for the organization, delivery, procurement, and monitoring of files/legal documents. They are to maintain an efficient filing system that protects legal instruments/data and enables colleagues' access upon request. This position demands a seriousness in approach and a thorough understanding of the need for confidentiality. Regardless of the methodology used to store documents (actual paper files or scanned documents), this position goal is for the preservation of such records and in the process, having to manage this process effectively and efficiently.
MAJOR RESPONSIBILITIES
l. Responsible for file retention and monitoring of such whether internally held or
stored by Iron Mountain. Acts as point of contact for Iron Mountain.
2. Monitor/update tracking logs for internal/lron Mountain retained storage boxes.
3. Ensure that appropriate daily sign out logs are maintained to track files and
reconcile each day.
4. Lending representative as to monitoring and providing document production in
response to subpoena, loan sales, audits.
5. Act as point of contact regarding usage of Nautilus system in retention of scanned
documents.
6. Responsible for following up on missing files as needed
7. Ability to perform transactional/maintenance type activity within Fiserv DNA
system to provide additional backup to Loan Administration as to payment
processing, new loan setups, and address changes.
8. Responsible for maintaining order for information as stored in vault or retention
areas.
9. Performs other duties as required.
