Executive Legal Assistant - General Counsel

Administrative support to the MassDOT/MBTA Director of Legal Operations and Administration and General Counsel including accounts payable, budget, outside counsel billing, executive assistant and reception coverage for General Counsel.
Answer telephone calls in a courteous and professional manner, transferring calls and recording messages accurately.
Complete access to the calendar of the General Counsel in order to schedule and coordinate meetings
Provide coverage for the Executive Assistant to General Counsel when absent; including answering phones/greet visitors
Assist the General Counsel and Director of Legal Operations and Administration in confidential matters as needed
Edit, revise, and maintain reports to track and monitor departmental and line item spending
Implement and maintain various planning, control and reporting mechanisms related to pilot programs developed by the Director of Legal Operations and Administration
Assist with developing and maintaining newly proposed methods of analyzing and modeling legal and financial information, responding to requests for both internal and external data
Assist with implementation of case management system.
Maintain the legal department matter intake and contracts log and tickler system and follow up with MassDOT and Authority departments to get information and/or written responses and assist with legal department approval and review process.
Monitor and update manual and computerized records and filing systems to ensure that information is easily retrievable including outside counsel engagements, budgets and task orders.
Organize and maintain departmental files and logs relating to legal matters/services of a confidential nature.
Follow established departmental administrative procedures.
Point of contact for all law firms to submit invoices
Maintain tracking system for all legal invoices submitted to MBTA/DOT for payment
Follow-up with various law firms to ensure all invoices are received and paid in a timely manner
Create and maintain Purchase Orders for payment of legal services invoices
