Operations Coordinator

Job Summary:

The Operations Coordinator will work closely with the Director of Operations to support and manage the daily physical operations of all company facilities. In this role, it is important to be a standout colleague who enjoys pursuing any small tasks or projects to support the company.

Duties/Responsibilities:

  • Maintaining and monitoring all facility equipment
  • Process third-party invoices for payment
  • Arrange for regular maintenance of equipment and internal systems (e.g. heating system, alarms, security cameras)
  • Assist with managing the security badge system for the entire office and troubleshoot as needed.
  • Monitor activities that happen outside the building, such as proper waste disposal and recycling
  • Fix minor malfunctions in office equipment
  • Respond and follow up appropriately to reports of facilities problems and email requests.
  • Documenting processes and keeping maintenance records.
  • Ensures orderliness and cleanliness in “public“ areas including reception, conference rooms, restrooms, and kitchens.
  • Collaborates regularly with the Director of Operations to identify renovation or construction needs
  • Assist in managing building and equipment maintenance schedules
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent required
  • At least 3 years of applicable work experience

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds at times.
