Job Description

We have an exciting opportunity for an experienced HR Leave Specialist to join our team.  This position will be responsible for supporting the HR Department by coordinating all employee leave of absence programs, 401(k) Administration, and keeping up to date records in our HR database on a day to day basis. The HR Leave Specialist will also assist in the execution of various HR functions and special projects supporting the HR Manager.


Essential Responsibilities:

FMLA & PLOA (Personal Leave of Absence) Administration:

  • Prepare, coordinate, and track all FMLA and PLOA requests on daily basis
  • Prepare initial authorization documents using Leave system and coordinate with both employee and manager
  • Track and update both the HRIS and Leave systems accordingly
  • Prepare and send payment schedules outlining benefit deductions as employees exhaust paid time off
  • Track and update payments and process with payroll and accounting
  • Follow up with managers on return to work dates and extension requests
  • Send out ADA letters as needed
  • Maintain all documentation in filing system and medical files once leave is over
  • Run weekly attendance reports from HRIS to track absences

401(k) Administration:

  • Update system website with quarterly eligibility files for enrollment of new hires
  • Assist with enrollment/ changes (address changes, status changes, etc.)
  • Coordinate placing employees on “Leave" in the system if they have a loan and are on FMLA or PLOA
  • Coordinate Educational meetings bi-annually
  • Assist in annual 401(k) Audit
  • Assist employees with general questions or concerns

General Duties:

  • Setup training profiles & update HRIS with employee trainings and certifications
  • Track annual performance reviews, review manager feedback and advise HR Manager of issues or discrepancies
  • Complete Employment verifications
  • Coordinate all Unemployment claims with our processing vendor and respond to their inquiries about separation details
  • Order Labor Law Posters and monitor changes in HR compliance laws and regulations
  • Complete federal and national census requests
  • Assist with continuing education programs with Bucks County Community College
  • Assist with special HR projects as assigned by HR Manager and general administrative duties
  • Serve as backup for Workers Comp claim administration

Job Requirements


Experience/Educational Requirements: 


  • Bachelor’s degree in Human Resources (or business management) required
  • 2+ years of HR experience
  • FMLA Administration 1+ year
  • Workers Compensation Administration 1+ year
  • HRIS experience preferred
