Administrative Assistant II

Job Description:
Provide administrative support for the PCE team working closely with the Sr. Administrative Assistant. The successful candidate will be expected to deliver a high level of administrative support including calendaring, coordination of meetings and travel, expense reporting, facilitating communication and correspondence, as well as other activities and projects as assigned all while exercising resourcefulness, discretion and independent judgment. Working professionally as a team player, the administrative assistant must be able to multi-task in a face-paced, dynamic environment.




  • Provide support in scheduling and calendar management, coordinating travel and itineraries
  • Organize meeting support (e.g. materials, room prep, catering, basic AV and IT, coordination with other client teams as needed) and proactively communicating progress and status
  • Independently manage schedule changes or assignments from others and proactively communicating progress/status
  • Provide logistical support for a bi-annual All-Hands meeting 
  • Ensure supplies are stocked within the department appropriately
  • Assist with onboarding new colleagues
  • Facilitate timely and professional communications internally and externally
  • Work with colleagues to deal with routine matters and present a professional face to company employees and visitors
  • Deal with confidential information and exercise discretion and independent judgment in the daily operations of the department and make sensible decisions effecting its operations

Job Requirements

Administrative Assistant II



  • College graduate with 4-6 years administrative assistant experience
  • Excellent project management and attention to detail; highly organized and able to successfully handle simultaneous priorities
  • Strong sense of personal integrity; able to maintain confidentiality and handle highly sensitive information; demonstrated good judgment and decision-making skills
  • Demonstrate functional and technical competence in many areas of administrative practice
  • Excellent technical skills: PC proficient
  • Excellent computer skills and an advanced working knowledge of Word, Excel and Outlook including advanced Outlook calendaring skills, working knowledge of SharePoint and the company’s internal systems as needed
