Job Description

If you are an outgoing and driven Project Coordinator who is seeking career satisfaction with a financially stable company, join the team at Elite Supply Chain Solutions! As a Project Coorinator with Elite, you will report to the President of Elite and your primary function will be to support Project Management, Engineering, and all field sales personnel and is primarily responsible for managing/coordinating customer orders with ESCS’ vendors, manufacturers and suppliers including order entry, tracking and invoicing.

Part-Time Project Coordinator

Duties and Responsibilities:

  • Manage orders and invoicing for Project and Equipment orders, which includes the following

    • Ensure that proper sales forms are used and ESCS sales policies/processes are followed.

    • Accurate and timely processing of all communication related to a sale including proposals, order entry, confirmations, acknowledgements, purchase orders, invoicing, vendor communication, shipping instructions and customer post sale communications.

    • Input Gross Profit and Sales Booking data for Sales Engineers commission calculations.

    • Communicate with and route information to Sales and Project Management in support of customer orders and product delivery.

  • Ensure that vendor special pricing (SPR) and Dealer pricing programs are properly used.

  • Compile and/or manage reports on booking and sales activity.

  • Maintain accurate sales files.

  • Enter General Accounting Information into QuickBooks Accounting System

    • Order Bookings

    • Create Invoices to Customers

    • Enter Vendor Invoices when received

    • Generate Project P&L Reports

  • Extract and input information as needed in support of sales activity in

  • General Office Support

    • Prepare Sales Proposals

    • Prepare Project Documents and Reports

    • Maintain Supply Inventory and Re-Order Office Supplies

    • Order Supplier Literature and Sales Materials

  • Present a professional image in personal appearance, dress and preparation.

  • Other duties as assigned.

Part-Time Project Coordinator

Job Requirements

As a Project Coordinator with Elite, you will interact daily with field sales personnel, Project Managers, and Project Engineers.

Additional requirements for the Part-Time Project Coordinator include :

  • Ability to cope with multiple projects, priorities, deadlines and frequent interruptions.

  • General Accounting and/or Bookkeeping knowledge.

  • Strong computer skills and knowledge of MS Office applications Outlook, Word, and Excel.  QuickBooks and General Accounting Software Use. experience is a plus.

  • Ability to organize and manage time effectively while prioritizing workload.

  • Must be personable, diplomatic and have excellent telephone skills.

  • Must be dependable and confidential.

  • Valid driver’s license and proof of insurance.

  • Must be able to meet the physical requirements of the job.
