POSITION SUMMARY:

Our company is currently seeking a motivated and detail oriented individual to take on the Executive Assistant position. This individual will report directly to the CEO

DUTIES & RESPONSIBILITIES:

  • Efficiently manage a broad variety of administrative tasks; including, an active calendar of appointments, compiling documents as requested for meetings, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas
  • Research, prioritize, and follow up on incoming issues and concerns addressed to executive, and determine appropriate course of action
  • Work closely and effectively to keep executive well informed of upcoming commitments and responsibilities
  • Successfully complete critical aspects of deliverables with a hands-on approach, such as, drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the executive's responsibilities
  • Prioritize conflicting needs; handle matters proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Provides a smooth communication between executive management and internal departments, demonstrating leadership, trust, and support with the company
  • The position requires a high level of professionalism, confidentiality, capability to perform work with multiple leaders, with multiple and potentially conflicting timelines, occasional flexibility in work hours, poise, and the ability to articulate the initiatives clearly and concisely. 
  • Manage interaction with insurance underwriters, carrier reps, advisors and clients.
  • Excel at providing high quality customer service in a fast-paced environment.

QUALIFICATIONS:

·         Ability to exercise good judgment in a professional atmosphere, with strong written and verbal communication, administrative, and organizational skills.

·         Superior attention to detail

·         Ability to work independently and take initiative to identify priorities and manage workload accordingly 

·         Ability to work as a part of a team

·         Demonstrate knowledge of MS Office products to include Excel, Outlook, PowerPoint, Word 

·         Ability to learn and train on our case tracking software as well as other software products as needed.

·         Strong analytical skills with the ability to summarize key information clearly and concisely 

·         Strong oral and written communications skills to effectively communicate with staff, senior management and external constituents 

EXPERIENCE REQUIRED:

·         Bachelor’s or Associate’s degree, or equivalent

·         3+ years customer service and/or administrative experience

  • Life Insurance Industry background – highly preferred, but will consider other candidates with strong experience and background

This is a full-time position, Monday – Friday from 8:00 am – 5:00 pm. Our firm is growing, and this position will offer successful candidates the opportunity to take on greater responsibility.
